We are looking for a highly organized, proactive, and resourceful person to work directly with the founder of a fast-moving online business.
This is a hybrid role combining business operations, executive assistance, and occasional personal support. It is not a basic Virtual Assistant position where you will receive the same repetitive checklist every day.
Some days, you may be coordinating team deadlines, updating reports, or improving an internal process. On other days, you may be researching a service, arranging an appointment, organizing travel, or helping solve an unexpected business problem.
The right person enjoys variety, takes ownership, and makes sure important tasks do not fall through the cracks.
WHAT YOU WILL BE RESPONSIBLE FOR
BUSINESS AND OPERATIONS SUPPORT
- Track projects, tasks, deadlines, and outstanding follow-ups.
- Follow up with tea
- Collect updates and turn them into clear summaries for the founder.
- Identify delays, recurring problems, and areas where the business could operate more efficiently.
- Help coordinate contractors, employees, applicants, vendors, and external service providers.
- Assist with onboarding new tea
EXECUTIVE AND PERSONAL SUPPORT
- Help manage appointments, bookings, reminders, and scheduling.
- Research products, services, travel options, and other requests.
- Draft messages, organize information, and handle administrative tasks.
- Turn rough instructions, voice notes, and screenshots into clear, organized action steps.
- Handle occasional personal tasks that allow the founder to remain focused on the business.
REPORTING AND SYSTEMS
- Maintain spreadsheets, trackers, files, and internal documents.
- Compile basic daily and weekly business reports.
- Keep standard operating procedures and training documents updated.
- Flag unusual numbers, missed deadlines, or potential problems early.
- Help create structure when a process is unclear or disorganized.
SPECIAL PROJECTS
- Assist with hiring and applicant screening.
- Help research and launch new projects.
- Learn new tools and processes when required.
- Take responsibility for unexpected tasks that arise as the business evolves.
WHAT WE ARE LOOKING FOR
- At least one year of experience in executive assistance, operations, project coordination, administration, or a similar role.
- University educated
- Strong written and spoken English.
- Excellent organization and attention to detail.
- Comfortable using Google Workspace, particularly Google Sheets, Docs, Drive, and Gmail.
- Able to follow detailed instructions while also thinking independently.
- Confident following up with other people and holding them accountable to deadlines.
- Resourceful when encountering unfamiliar problems.
- Able to manage changing priorities without becoming overwhelmed.
- Professional and discreet with sensitive business and personal information.
- Reliable internet connection and a suitable remote working environment.
We are also looking for someone who is humble, open to feedback, and willing to learn. You should be comfortable admitting when you do not know something, asking questions when necessary, and correcting mistakes without becoming defensive.
There will be both important projects and smaller, less glamorous tasks. We need someone who is willing to handle both with the same level of care and without feeling that certain tasks are beneath them.
Experience supporting an online business, e-commerce brand, digital agency, or remote team is helpful but not mandatory.
THIS ROLE WILL NOT SUIT SOMEONE WHO
- Is applying for their first online job without relevant experience.
- Needs every individual step explained repeatedly.
- Avoids following up with people or addressing missed deadlines.
- Regularly disappears during working hours.
- Only wants simple, repetitive data-entry tasks.
- Says yes to a task but does not confirm when it has actually been completed.
- Struggles to receive direct feedback or take responsibility for mistakes.
- Is unwilling to help with smaller tasks when the business requires it.
WHAT SUCCESS LOOKS LIKE
After the first few months:
- Tasks are followed through without repeated reminders.
- The founder has a clear view of what is completed, delayed, and awaiting action.
- Tea
- Documents, trackers, and internal systems remain organized.
- Problems are raised early instead of being discovered after they become serious.
- You gradually require less supervision as you learn how the business operates.
- You become someone the founder can trust to take a problem, organize it, and move it toward a solution.
SCHEDULE AND COMPENSATION
- Full-time, long-term remote position.
- Working schedule: 10:00 AM to 6:00 PM Philippine Time.
- Salary: $800 to $1,500 USD per month, depending on experience and ability.
- Salary and responsibilities may be reviewed based on performance.
- This is intended to become a stable and important role within the business for the right person.
