The Executive Assistant & Project Coordinator will provide part-time virtual support (approx. 15 hours per week) to the Executive Director and consulting team. The scope of work includes administrative coordination, project management, automation setup, and content support for ongoing consulting and leadership projects.
1. Administrative & Operations Support
• Manage calendars, meetings, and travel logistics
• Maintain organized digital folders and shared drives
• Prepare and format professional documents, presentations, and reports

2. Project Management & Coordination
• Maintain project timelines and deliverables using Asana, Notion, or ClickUp
• Monitor deadlines, action items, and internal communications
• Create task lists, reminders, and progress updates for the Executive Director
• Track and report on the status of multiple active projects
3. AI & Automation Integration
• Use ChatGPT, Notion AI, or similar tools for research, drafting, and document summarization
• Help build and maintain automations using Zapier or Make (Integromat)
• Identify opportunities to streamline administrative and communication processes
4. Content & Media Support
• Assist in editing and preparing written, audio, and video content (books, articles, and training materials)
• Upload and organize digital assets for publication or internal use
• Manage social media scheduling and light content posting (LinkedIn, YouTube, etc.)
• Perform basic website updates (WordPress, Squarespace, or Wix)
5. Research & Documentation
• Conduct research on nonprofit, business, or leadership-related topics
• Summarize findings in clear and organized formats for use in reports or proposals
• Prepare background materials for meetings or presentations
Deliverables
• Weekly task reports in the project management tool
• Monthly summary of completed tasks and outstanding items
• Organized documentation system for files, meetings, and notes
• At least one process or workflow automated within the first 60 days
Tools You’ll Use
• Google Workspace (Docs, Sheets, Drive, Calendar)
• Asana or Notion (for task management)
• ChatGPT, Notion AI, or similar tools
• Zapier / Make (for automations)
• WordPress or Squarespace (for light website edits)
• Loom or Zoom (for communication and reporting)
Working Arrangement
• 15 hours per week (flexible schedule; some overlap with U.S. Eastern Time preferred)
• Ongoing engagement with weekly check-ins and monthly progress review
