Reports to: CEO of HR Partners
About the Role:
We are seeking a highly reliable, proactive Virtual Executive Assistant to support our CEO, a dynamic and busy executive in the HR space. This role requires excellent organizational, communication, and technology skills, as well as the discretion and agility to handle both business and personal tasks.
Key Responsibilities:
Inbox & Communication Management
Organize and prioritize high-volume
Draft and send responses on behalf of CEO with impeccable grammar and tone
Research and provide background on contacts, clients, and meetings
Calendar & Meeting Coordination
Schedule internal/external meetings, including personal appointments (e.g., doctor, dentist)
Coordinate, send, and manage Zoom invites; start zoo
Manage and adjust daily schedule proactively
Social Media & Online Presence for CEO
Post professional updates and content on LinkedIn
Collaborate with the CEO to maintain a consistent and engaging social media presence
Use Canva to create polished, brand-aligned content. Creating marketing PDFs for partners we work with cobranding our business and theirs. Work with the Social Media team.
General Executive Support
Attend Zoo
Answer and screen incoming calls professionally
Manage and track tasks in Asana
Prefer someone with prior HR experience that can assist with recruiting also
Maintain CRM (HubSpot) by logging contact activity and maintaining records
Required Skills & Qualifications:
3+ years experience supporting a busy executive in a virtual capacity
Excellent English (spoken and written)
Strong skills in Outlook, Zoom, Canva, Asana, and HubSpot
Social media savvy, especially LinkedIn
Tech-savvy and resourceful in solving problems independently. Excellent internet connection.
High level of confidentiality, discretion, and judgment
Exceptional attention to detail and follow-through
Able to work proactively in a fast-paced, ever-changing environment
Preferred:
Experience in HR, consulting, or professional services firms
Familiarity with handling both business and personal administrative tasks
Comfort with working independently while maintaining high visibility and accountability
Work Hours:
40 hours per week (availability needed during standard US Eastern business hours)
Flexibility required due to the CEO’s demanding and dynamic schedule
