We are seeking an exceptional Executive AI Operations & Funnel Builder to become a long-ter
This is not a typical virtual assistant position.
You will work directly with the CEO helping lead multiple mission-driven organizations focused on nonprofit leadership, behavioral health, church operations, workforce development, grant writing, fundraising, AI education, business consulting, and community development.
We are looking for someone who is highly organized, proactive, tech-savvy, and excited about using AI and automation to build systems that create lasting impact.
This position offers the opportunity to grow into a key leadership role as our organizations continue to expand.
What You'll Do
Executive Operations
Manage executive calendars and scheduling
Prepare daily executive briefs and weekly dashboards
Organize meetings, agendas, and follow-up tasks
Draft professional
Maintain project timelines and accountability
Organize Google Drive and Microsoft 365 files
Build and maintain Standard Operating Procedures (SOPs)
GoHighLevel & Funnel Building
Build and maintain websites, landing pages, and sales funnels in GoHighLevel
Create book funnels, course funnels, donation funnels, webinar funnels, and appointment funnels
Build two-step checkout pages, order bumps, one-click upsells, downsells, and thank-you pages
Create reusable GoHighLevel snapshots and templates
Connect Stripe, calendars, forms, surveys, and domains
Test and optimize funnels for desktop and mobile devices
AI & Automation
Use ChatGPT and other AI tools to improve workflows and productivity
Build
Manage CRM pipelines and customer journeys
Assist with AI-powered content creation and research
Help improve systems using automation and AI
Marketing & Growth
Assist with social media scheduling
Create Canva graphics and presentations
Help launch online courses and digital products
Support fundraising campaigns and donor communications
Organize grant opportunities and proposal materials
Administrative Support
Maintain CRM records and databases
Research grant opportunities and potential partners
Prepare board packets and executive reports
Coordinate with vendors, contractors, and tea
Keep projects moving forward with minimal supervision
Qualifications
We are looking for someone who:
Has excellent written and verbal English skills
Is highly organized and detail-oriented
Can manage multiple projects simultaneously
Is proactive and solves problems independently
Learns new technology quickly
Enjoys creating systems and improving processes
Has experience with GoHighLevel (preferred)
Has experience using AI tools such as ChatGPT
Has experience with Google Workspace and Microsoft Office
Has experience with Canva or similar design tools

What Success Looks Like
Within your first 90 days, you will:
Manage executive scheduling with minimal supervision
Build and maintain GoHighLevel funnels
Keep our CRM accurate and organized
Prepare executive reports and dashboards
Help launch new digital products and marketing campaigns
Improve workflows using AI and automation
Keep multiple projects organized and on schedule
Hours
20 hours per week to start
