Role Overview
We are looking for a highly organized, proactive, and detail-oriented Marketing & Executive Assistant to support our Co-Founder / Head of Marketing.
This role combines marketing coordination, administrative support, executive assistance, and occasional personal assistant support. You’ll help keep day-to-day priorities organized while supporting a variety of marketing initiatives and special projects.
The ideal candidate is a strong doer who can take a clear project brief and run with it. You should be comfortable working independently, communicating proactively, solving problems, and asking smart questions when needed without requiring significant day-to-day oversight.
You should also be comfortable switching between different types of work. One moment you may be organizing a founder’s calendar or following up with a vendor, and the next you may be drafting website copy, supporting an
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative and project support to the Co-Founder / Head of Marketing
- Manage calendars, meetings, appointments, and scheduling
- Take meeting notes and organize action items, follow-ups, and next steps
- Draft and organize
- Assist with data entry and general administrative tasks
- Track outstanding tasks, deadlines, approvals, and follow-ups across multiple projects
- Maintain and update tasks within project management software
- Help keep projects organized and moving forward
- Support vendor relationships by gathering updates and following up on outstanding items
- Make professional phone calls on behalf of the founders when needed

Marketing Support
- Assist with marketing content planning, coordination, execution, and reporting
- Support
- Assist with SMS marketing initiatives
- Support organic social media and schedule or publish content according to established brand guidelines
- Assist with copywriting across
- Support website copywriting, including product names, product descriptions, landing pages, promotional messaging, and other website updates
- Conduct research related to marketing initiatives, client work, competitors, vendors, products, and inventory
- Help support website merchandising and inventory-related marketing initiatives
- Update marketing materials, presentations, documents, and internal resources
- Support new business proposals, client presentations, and other sales or marketing materials
- Proactively identify missing information, outstanding follow-ups, and next steps to help keep projects moving forward
Experience & Skills
- Previous experience in an Administrative Assistant, Executive Assistant, Personal Assistant, Marketing Assistant, Project Coordinator, or similar role
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Experience supporting a founder, executive, small business owner, or fast-moving team is a plus

- Comfortable handling occasional personal scheduling and administrative tasks with discretion
- Professional, positive, and collaborative
- Comfortable working directly with company founders in a fast-paced small business environment
- Must have independent access to a computer and reliable internet connection
