Founder's Associate / Business Manager - AI-Native
Part-Time | Long-Term Opportunity | 5–10 hours/week initially
ABOUT THE ROLE
I'm an entrepreneur operating several businesses and projects across fleet management, software, design, and other new ventures.
I'm looking for a highly organized, proactive person to work directly with me and help keep everything moving. I have many projects, decisions, commitments, people, and open threads happening simultaneously. I need someone who can help maintain the operating system around all of them so that I don't have to personally keep everything in my head.
Think of the role as a combination of Founder's Associate, Business Manager, Project Manager, and Executive Assistant.
The goal is simple: help me know what matters, keep our project management system aligned with reality, make sure important things don't get forgotten, and proactively help move projects forward.
THE CORE RESPONSIBILITY
We use Linear to manage projects and tasks. One of your primary responsibilities will eventually be:
"Linear should reflect reality without me having to maintain it."
That means understanding what is happening across the businesses and making sure our projects, issues, priorities, blockers, and next actions accurately represent it.
I want you to notice things:
- If an issue hasn't moved in two weeks, investigate why.
- If a project is waiting on someone, identify the dependency and make sure we follow up.
- If I'm working on something that isn't reflected in Linear, capture it.
- If something listed as active is no longer actually a priority, surface it.
- If a project is blocked, make sure the blocker and next action are clear.
- If someone owes us something, help make sure the loop gets closed.
WHAT YOU'LL DO
- Maintain projects, issues, priorities, and statuses in Linear.
- Keep our project management system aligned with what is actually happening.
- Track open loops across multiple businesses and projects.
- Track commitments I make to other people and commitments they make to me.
- Identify stale tasks, blockers, and dependencies.
- Follow up on outstanding items.
- Capture action items from meetings and conversations.
- Turn founder brain dumps into organized projects and next actions.
- Prepare concise summaries of where projects stand.
- Surface decisions that require my attention, with options and your recommendation when useful.
- Identify work you can progress without me.
- Ask proactive questions when something isn't moving.
- Help determine what should be active, paused, completed, or moved to backlog.
- Use AI to process information, notes, meetings, research, and updates.
- Handle miscellaneous research and nontechnical execution when useful.
OWNERSHIP AND PROACTIVITY
The core of this role is judgment, organization, ownership, continuity, and follow-through. Calendar management, inbox management, and data entry are secondary to maintaining a reliable picture of what is happening and helping work move forward.
When you finish assigned work, I want you to think:
"What else in the system isn't moving? What is stale? What are we waiting on? What can I progress myself? What actually needs the founder's attention?"
For example, imagine you open Linear and see 25 open issues across five projects. Several haven't been updated in two weeks. Some don't have a clear next action. Two are waiting on other people. The founder is working on something important that isn't reflected on the board.
Your job is to investigate the state of the projects, identify the inconsistencies, organize what you can, and bring me a short list of the questions or decisions that actually require me.
HOW WE'LL WORK
The role will start at around 5 to 10 hours per week. Work will be primarily asynchronous and remote. You will work directly with me, with a short weekly planning conversation and brief check-ins as necessary.
Over time, I want you to develop enough context across the businesses that you understand what is happening without requiring me to explain everything from the beginning every time. The ideal relationship is that you begin reminding me about important things before I remember them myself.
AI IS CENTRAL TO THE ROLE
I use ChatGPT, Claude, and other AI tools heavily in my own work. You should be comfortable doing the same.
Use AI to:
- Process meeting notes and transcripts and extract action items.
- Organize information and structure founder brain dumps.
- Conduct research and learn unfamiliar subjects.
- Draft follow-ups and prepare summaries.
- Compare project updates and identify potential open loops.
AI should make you more capable. You are responsible for checking its output, applying judgment, and following through.
WHO I'M LOOKING FOR
You are likely a strong fit if you are:
- Extremely organized, proactive, and resourceful.
- Comfortable working independently.
- Intellectually curious and able to understand unfamiliar businesses quickly.
- A strong written English communicator.
- Comfortable managing multiple projects at once.
- Good at identifying priorities and next actions.
- Comfortable following up with people.
- Comfortable using modern software and AI tools.
- Willing to challenge me when something doesn't make sense.
Experience as a Founder's Associate, Executive Assistant, Project Manager, Operations Associate, Chief of Staff, or similar role is useful but not required.
Experience with Linear is helpful but not required. Experience with Asana, ClickUp, Jira, Monday, Notion, or Trello is relevant.
HOW I WILL MEASURE SUCCESS
- Our Linear workspace is more accurate without me maintaining it.
- I carry fewer open loops in my head.
- Important follow-ups happen without me remembering them.
- Stale projects are identified and blockers surfaced quickly.
- You increasingly understand what requires my attention and what doesn't.
- You proactively find ways to move work forward.
- I sometimes learn about things from you instead of you always learning about things from me.
COMPENSATION
$5 to $8 USD per hour depending on experience and ability.
The role will start part-time, around 5–10 hours per week. There is room for additional responsibility, hours, and compensation if the relationship works well. I'm interested in building a long-term working relationship with the right person.
