We are two U.S.-based owners looking for an exceptional Executive & Operations Assistant to become our right-hand person.
One of us operates an established automotive business. The other leads a growing nonprofit organization focused on hockey and autism.
We do NOT need someone who simply waits for instructions.
We need someone who hears:
“Please handle this.”
…and figures out how to get it done.
What You’ll Do
Manage
Maintain running task and priority lists for two busy owners
Follow up with customers, vendors, sponsors, teams, employees, and outside contacts
Make phone calls when
Research products, vendors, travel, services, events, pricing, and business questions
Build and maintain Excel/Google Sheets trackers
Assist with quotes, RFQs, invoices, documents, and administrative projects
Coordinate meetings and travel
Assist with nonprofit tournaments, hockey teams, rinks, sponsors, registrations, volunteers, and events
Organize documents, contacts, project information, and loose ends
Identify items that are being forgotten or delayed and bring them back to our attention
Follow assignments through until they are actually completed
The Person We Want
You are highly organized, resourceful, confident, and persistent.
You communicate extremely well in spoken and written English.
You are comfortable communicating with American businesses by phone and
You don't need step-by-step instructions for everything.
You know how to research something you don't understand.
You are comfortable telling an owner:
“You asked me to get this done. Here’s where it stands, here’s what I need from you, and here’s what happens next.”
We will love that.
Skills
Strong experience with:
Outlook/email management
Microsoft Excel and/or Google Sheets
Calendars and scheduling
Internet research
Task/project management
Professional written communication
Phone communication
Microsoft Office
Experience with QuickBooks, CRM systems, event coordination, nonprofit organizations, automotive businesses, or executive support is helpful but not required.
Schedule
Approximately 30 hours per week.
You must have dependable internet and be available for significant overlap with U.S. Central/Eastern business hours.
This is intended to become a long-term position, not a temporary freelance project.
Compensation
Approximately $2,100–$2,400 USD per month, depending on experience and demonstrated ability.
There is room for increased compensation for someone who becomes indispensable.
