Part-Time Virtual Executive Assistant
Securing Degrees & Securing Grants
Part-Time | Remote | 10 Hours/Week (about 2 hours/day, Monday–Friday) ability to grow into full-time position :)
Securing Degrees and Securing Grants are looking for an organized, reliable, and resourceful Virtual Executive Assistant to support our CEO with day-to-day operations, scheduling, client communication, and event planning.
This role is ideal for someone who can step in on the CEO's behalf, figure things out without a lot of structure, and keep things moving. You'll act as a right hand to the CEO, similar to a Chief of Staff, helping make sure nothing falls through the cracks.
What You'll Do
-Administrative & Operations Support (about 8 hours/week)
-Managing the CEO's calendar, scheduling meetings, and coordinating appointments.
-Prioritizing the CEO's inbox and flagging urgent items.
-Drafting and sending
-Processing payments and keeping payment records organized.
-Preparing and sending Securing Grants invoices and keeping client contact lists up to date.
-Tracking projects, deadlines, and action items using our project management tools.
-Researching and planning travel logistics, including flights, hotels, and itineraries.
-Scheduling and setting up scholarship seminars on Eventbrite.
-Handling seminar prep: reminders, attendee lists, materials, and follow-ups.
-Finding, planning, and scheduling events and speaking opportunities.
-Ordering and coordinating marketing materials such as lawn signs and postcards with online vendors.
-Client Calls & Retention (about 2 hours/week)
-Calling current clients to check in and support retention.
-Calling people who attended a seminar but didn't sign up, to answer questions and encourage enrollment.
-Calling registered attendees ahead of seminars to boost show rates.
Schedule & Availability
-Must be available at least partly during U.S. Eastern Time business hours, especially for client calls.
-Must be responsive to messages during agreed-upon working hours.
We're Looking for Someone Who
-Has experience as a virtual assistant, executive assistant, or in an administrative or operations role.
-Has excellent written and spoken English, with a clear, professional phone presence for calls with U.S. clients.
-Is extremely organized and detail-oriented.
-Is reliable, on time, and consistently meets deadlines.
-Is resourceful and a problem solver who can figure things out independently.
-Is comfortable using AI tools and technology to work more efficiently.
-Has experience with, or can quickly learn, Google Workspace, Eventbrite, project management tools, and
-Can handle confidential client and business information with care.
-Has a reliable internet connection, a computer, and a quiet workspace for calls.
Bonus Points If You Have
-Experience supporting a CEO or small business owner.
-Experience with customer service, client retention, or sales follow-up calls.
-Experience planning events or coordinating travel.
-Familiarity with education, nonprofits, or grant work.
