JOB OVERVIEW

We are building three connected beauty businesses:

* A premium local spray-tanning service business
* A sunless beauty product, education, and apparel brand
* A B2B fulfillment, wholesale, and disposable-products company serving beauty and sunless professionals

We need a proactive Operations / Project Coordinator to keep priorities, people, and projects moving. This is not a basic data-entry role. We are looking for someone who creates order, follows through, and helps turn ideas into completed projects.

Core Responsibilities

Project & Task Management

* Organize projects, tasks, deadlines, and priorities across multiple businesses
* Maintain project boards in Asana, ClickUp, Trello, or similar tools
* Break big goals into clear next steps and follow up on deliverables
* Keep the owner informed of deadlines, bottlenecks, priorities, and decisions needed

Operations Support

* Create and improve SOPs, checklists, trackers, and internal documents
* Help coordinate product launches, marketing campaigns, studio-opening tasks, vendor orders, and fulfillment setup
* Research vendors, tools, competitors, pricing, and business opportunities
* Keep shared files, folders, and business information organized

Team & Executive Support

* Follow up with contractors, VAs, designers, suppliers, and partners
* Help manage recurring tasks so nothing important falls through the cracks
* Prepare concise weekly status updates, agendas, meeting notes, and action lists
* Identify gaps and ways to make operations run more smoothly

Requirements

* Excellent written English and communication
* Strong project-management and organizational skills
* Proactive, resourceful, and comfortable figuring things out
* Experience with Asana, ClickUp, Trello, Notion, Google Workspace, or similar tools
* Detail-oriented with excellent follow-through
* Experience supporting a founder, agency, e-commerce business, beauty brand, or startup is a plus
