EXECUTIVE ASSISTANT / OPERATIONS COORDINATOR
Company: Everbowl franchise operating group. This position supports our franchise operating group and is not a position with the Everbowl franchisor.
Reports to: Josh Feldman, CEO
Location: Remote, Philippines
Employment: Full-time, 40 hours per week
SCHEDULE
Monday–Friday, primarily California business hours, following Pacific Time and its daylight-saving changes. Exact start and end times will be agreed upon. This generally means overnight work in the Philippines.
COMPENSATION
Starting pay is $6–$7 USD per hour, depending on experience and demonstrated ability. There is an opportunity to grow to $8–$9 USD per hour based on performance and expanded responsibilities.
ABOUT THE ROLE
We are seeking an organized, resourceful, and accountable Executive Assistant / Operations Coordinator to support the CEO of a growing multi-location restaurant organization.
You will help organize priorities, follow up on outstanding commitments, maintain accurate records, and make sure important matters receive attention before deadlines are missed. We are looking for someone who takes ownership, communicates clearly, and investigates missing information rather than guessing.
RESPONSIBILITIES
• Maintain executive task lists, deadlines, and follow-up trackers.
• Provide calendar and meeting support.
• Draft professional
• Follow up with managers, employees, vendors, and contractors.
• Organize invoices, contracts, reports, permits, certifications, and company files.
• Collect operational reports and update spreadsheets.
• Support employee onboarding documentation and training records.
• Track renewals, outstanding requests, and administrative deadlines.
• Research vendors, products, and operational questions.
• Turn instructions into clear checklists, trackers, and procedures.
• Prepare concise executive briefs showing decisions needed, deadlines, and unresolved issues.
• Use ChatGPT and other tools efficiently while independently verifying accuracy.
Access and responsibilities will expand as competence and trust are demonstrated.
QUALIFICATIONS
• Excellent written and spoken English.
• Strong organization, attention to detail, and follow-through.
• Sound judgment when managing competing priorities.
• Ability to work independently and ask focused questions when material facts are missing.
• Proficiency with Google Workspace and Excel or Google Sheets.
• Ability to learn new systems quickly.
• Practical experience using ChatGPT or similar AI tools.
• Professional handling of confidential information.
• Reliable computer, internet connection, and a backup connectivity plan.
• Consistent availability during the required California-hours schedule.
Experience supporting an executive, entrepreneur, operations team, franchise, or multi-location business is preferred. Restaurant experience is helpful but not required.
This is intended to be a long-term role. Shortlisted applicants may be invited to a paid practical assessment and an interview.
