JOB OVERVIEW

We’re looking for a highly accountable and proactive Executive Assistant & Operations Coordinator to support our growing luxury footwear and fashion brand. This is a remote, long-term role, requiring 30 hours per week. Your working hours will be 10:00 AM to 4:00 PM EST, Monday through Friday.

This is a well-rounded role with a heavy emphasis on customer service and operations. You will be the frontline voice of our brand while seamlessly managing backend logistics, returns, and administrative tasks. You’ll be communicating mostly via Slack and email, and you should be someone who takes extreme ownership of your work, loves talking to customers, and thrives in an organized environment.

Top Responsibilities:

Customer Experience & Returns:
Respond to customer inquiries via email and phone in a warm, elevated, and on-brand tone.
Manage returns and proactively convert returns into exchanges or store credit whenever possible.
Process returns accurately within Shopify, Redo, and Nordstrom (using Mirakl).

Operations & Administration:
Monitor warehouse fulfillment and returns processing through Shopify and WMS (Warehouse Management System) platforms.
Conduct daily WMS order hold checks and follow up on unfulfilled orders, delayed shipments, backorders, damaged returns, and operational issues.
Escalate priority orders and urgent shipping/customer requests.
Track late shipments and operational issues in Google Sheets and Microsoft Excel.
Create Purchase Orders (POs), run operational/return reports, pull data from various platforms, and provide insights.
Assist with marketplace integrations and backend feed maintenance with a strong attention to detail.

Marketing Support (Occasional):
Resize, format, and retouch product/lifestyle images for marketplaces using Adobe Photoshop.
Post content to Pinterest (including image overlays, SEO, and alt text).
Research social captions and trends from luxury/contemporary fashion brands on Instagram and TikTok.
Identify relevant competitors based on brand positioning/price point and organize influencer outreach lists.

Light video editing.
Requirements:
Must-Have:
Extremely responsible, trustworthy, and organized team player with high-level accountability.
Eagerness and ability to handle heavy customer service with a positive, elevated communication style.
Proficiency in Shopify, Google Workspace, and Microsoft Excel/Office.
Impeccable written and spoken English.
Ability to work strictly during the 10:00 AM to 4:00 PM EST schedule.

Nice-to-Have:
Experience with Redo, Mirakl, and WMS platforms.
Design and marketing experience using Canva, Figma, and Adobe Photoshop.
Experience in the luxury, footwear, or contemporary fashion space.
Basic video editing skills.

Compensation: $9.00 – $12.00/hour (based on experience).
