JOB OVERVIEW

We are looking for a highly capable and experienced Senior Executive & Operations Assistant to support our growing team.

This is not a basic data-entry or traditional VA role. We’re looking for someone who is smart, proactive, highly organised, technically capable, and genuinely easy to work with.

The ideal candidate is someone who can work independently, solve problems, take ownership, and support both management and day-to-day operations.

Key Responsibilities

Provide executive, administrative, and operational support to the management team
Assist with team coordination, follow-ups, and general organisation
Manage and maintain Google Sheets, trackers, reports, and documentation
Assist with Shopify and other e-commerce platforms
Organise and manage information across different systems and tools
Coordinate with team members, suppliers, and external partners when required
Assist with reporting, data analysis, and maintaining accurate records
Handle ad-hoc operational and administrative tasks
Identify problems and find practical solutions rather than waiting for instructions
Help improve processes and make day-to-day operations more efficient

What We're Looking For

The ideal candidate is:

Very technically capable, particularly with Google Sheets
Experienced with Shopify or similar e-commerce platforms
Highly organised and detail-oriented
A strong communicator in English
Comfortable working independently with minimal supervision
A strong problem solver who can figure things out
Proactive - you see what needs to be done and take ownership
Reliable and able to manage multiple priorities
Senior-level in experience, judgement, and maturity
Smart, kind, and easy to work with

We're looking for someone who can become a trusted member of the team, rather than someone who simply waits for a list of tasks.

Relevant Experience

Experience in any of the following would be a strong advantage:

Executive or Operations Assistant
E-commerce operations
Shopify
Advanced Google Sheets / reporting
Team coordination or management support
Supplier/vendor management
Administrative operations
Working with international companies or remote teams

Compensation

Starting at $1,000 USD/month, depending on experience and skill level.
We are willing to pay more for the right person.
This is intended to be a long-term position for someone who can grow with the company and take on increasing responsibility over time.
