Accomy is a travel company that helps events and communities book flights and hotels. We combine online booking technology with real human support to make travel easier for our clients and partners.We are looking for a proactive, organized, and dependable Travel Partnerships & Executive Assistant to support our U.S. Regional Director. This position combines executive-assistant responsibilities, partnership research, client communication and basic travel-booking support. The ideal candidate has experience working for a travel company, travel agency, airline, hotel, online booking platform or customer-support team. You will help manage schedules and priorities, research potential partners, conduct outreach, respond to existing and potential clients, and assist with general travel and booking-related inquiries.
Responsibilities
-Travel and Client Support
---Respond professionally to
---Assist clients with basic flight, hotel and booking-related questions
---Help clients understand how to use Accomy’s booking platform
---Follow up on booking requests, confirmations and outstanding client questions
---Coordinate with internal teams when a booking requires additional assistance
---Escalate urgent, complicated or unresolved travel issues to the appropriate team
---Keep accurate records of client communications and pending requests
-Partnership Research and Outreach
---Research events, communities, clubs, associations, tournaments, conferences and creators that may benefit from partnering with Accomy
---Identify organizers and decision-makers and collect accurate contact information
---Build and maintain organized prospect lists
---Conduct initial outreach through
---Follow up with potential partners and help schedule introductory meetings
---Track outreach, responses, meetings and next steps in the company CRM
---Prepare short background summaries before partnership meetings
---Help identify upcoming events and travel opportunities in the U.S. market
-Executive and Calendar Support
---Manage and organize the Regional Director’s calendar
---Schedule, confirm and reschedule internal, client and partnership meetings
---Provide reminders about upcoming meetings, deadlines and commitments
---Prepare daily and weekly schedule summaries
---Identify scheduling conflicts and recommend solutions
---Prepare basic meeting agendas, notes and follow-up items
---Track action items and make sure important tasks are completed
---Help prioritize weekly responsibilities based on urgency and business importance
-Communication and Organization
---Provide concise daily or weekly updates covering meetings, client requests, outreach, deadlines and pending tasks
---Flag urgent client issues or important business opportunities
---Follow up with internal team members and external contacts when needed
---Organize documents, contact information, meeting notes and partnership materials
---Assist with other administrative, travel and business-development responsibilities as needed
-Required Qualifications
---Previous experience in travel, hospitality, flight or hotel reservations, booking assistance or travel-related customer service
---Strong written and spoken English
---Professional and friendly client-communication skills
---Excellent organization and time-management skills
---Strong online research skills
---Comfortable communicating through
---Able to manage several priorities without losing track of details
---Proactive, dependable and comfortable working independently
---Good judgment when handling confidential client and business information
---Reliable computer and internet connection
---Ability to work during designated U.S. Pacific Time hours
-Preferred Experience
---Experience as a virtual assistant, executive assistant, travel assistant, reservation agent or customer-support representative
---Experience assisting with flight and hotel reservations
---Experience researching and contacting prospective clients or partners
---Familiarity with calendars, spreadsheets, CRMs and task-management platforms
---Experience with HubSpot, Lark, Google Workspace or Microsoft Office
---Familiarity with group travel, events, communities or social-media outreach

-Booking questions are handled or escalated appropriately
-The Regional Director’s calendar and weekly priorities remain organized
-Meetings, deadlines and important follow-ups are not missed
-New partnership opportunities are consistently researched and added to the pipeline

-The U.S. team can spend more time developing relationships and closing partnerships
