Role Purpose
The Executive Assistant to the Sales Team will provide comprehensive administrative, operational and customer support to the UK sales function. The role is designed to free up sales professionals from administrative tasks, enabling them to focus on revenue generation, customer relationships and business development.
The successful candidate will act as a key coordinator between the sales team, customers, suppliers and internal departments, ensuring a high level of responsiveness, accuracy and efficiency.
Key Responsibilities:
Sales Administration:
• Prepare and format quotations, proposals and customer presentations.
• Create and maintain sales documentation.
• Process customer enquiries and distribute to relevant team members.
• Maintain accurate records within CRM systems.
• Produce regular sales activity and pipeline reports.
• Support tender and bid submission processes.
• Assist with contract documentation and customer onboarding.
Diary & Meeting Management:
• Manage calendars for members of the sales team.
• Schedule internal and external meetings.
• Organise customer visits and travel arrangements.
• Prepare meeting agendas and circulate documentation.
• Record and distribute meeting minutes and action trackers.
CRM Management:
• Maintain customer records and contact data.
• Update opportunities and sales pipeline information.
• Ensure sales activity is accurately recorded.
• Generate reports and dashboards for management.
Customer Support:
• Coordinate responses between customers and sales personnel.
• Track customer requests and ensure timely follow-up.
• Monitor shared sales inboxes.
• Maintain professional customer communications.
Reporting & Data Analysis:
• Produce weekly and monthly sales reports.
• Analyse pipeline and activity data.
• Support in preparing management reports and presentations.
Marketing & Business Development Support:
• Maintain prospect databases.
• Support lead generation and marketing campaigns.
Systems & Process Support
• Utilise Microsoft 365 applications including Outlook, Excel, Teams and SharePoint.
• Support CRM administration and data integrity.
• Assist with sales process improvements.
• Support AI and automation initiatives where appropriate.
Key Performance Indicators (KPIs):
• CRM data accuracy.
• Sales administration turnaround times.
• Customer enquiry response times.
• Meeting and diary management efficiency.
• Reporting accuracy.
• Completion of assigned actions within agreed timescales.
• Internal customer (sales team) satisfaction.
Essential Skills & Experience:
• Previous Executive Assistant, Sales Support or Administrative experience.
• Excellent written and verbal English.
• Strong Microsoft Office skills, particularly Excel and PowerPoint.
• Experience using CRM systems.
• Exceptional organisational and time-management skills.
• Strong attention to detail.
• Ability to work independently with minimal supervision.
• Professional communication skills.
Desirable Skills:
• Experience supporting UK-based sales teams or similar.
• Microsoft Dynamics, HubSpot or Salesforce experience.
• SharePoint administration.
• Knowledge of AI productivity tools such as Microsoft Copilot or equivalent.
• Experience in manufacturing, distribution or B2B environments.
