About the role
The founder of a portfolio of ecommerce brands, and he's looking for a sharp, proactive Executive Assistant who also acts as a project coordinator across his business and personal life. This is not a task-execution VA role — it's a right-hand seat.
You'll own his calendar, drive his product-development and digital projects forward, keep his systems current, and handle the executive and personal admin that frees him to focus on high-level decisions.
The best person for this role anticipates what's needed before being asked, holds multiple projects in motion without dropping details, and communicates clearly in writing. If you take ownership and make things happen, you'll thrive here — and grow with the business.
What you'll own:
- Executive support
* Manage his calendar — schedule, protect focus time, resolve conflicts
* Prepare meeting agendas and briefing notes; chase follow-ups after his meetings
* Support his inbox — draft replies, surface what needs him, keep it organized
* Produce a daily morning brief: his calendar, decisions he needs to make, project status, and what he's waiting on
- Project coordination
* Keep his product-development projects on track — maintain the timeline, flag slipping deadlines, and keep him updated on status (project tracking, not vendor management)
* Coordinate digital projects (e.g., our DTC website build) — organize tasks, assets, and blockers
* Manage creative and design deliverables (e.g., product photography) — brief, track, and chase to completion
* Track our IP filing and compliance checklist so nothing advances out of sequence
- Systems & hiring admin
* Keep our Notion workspace current — goals, tasks, and project trackers
* Run hiring logistics — schedule interviews, collect scorecards, track candidates
* Prepare research briefs and decision memos when I need to make a call
- Personal / life management
* Book travel — flights, hotels, ground transport, full itineraries (business + personal)
* Manage personal appointments, reservations, renewals, subscriptions, and reminders
* Handle personal research and errands remotely — purchases, bookings, returns, vendor coordination
What this role does NOT include:
To keep scope clean, these are owned by other team members:
- Amazon Seller Central / marketplace operations
- Vendor and supplier relationships — including new sourcing partners — plus purchase orders, payments, freight, and logistics
- Finance, bookkeeping, and invoicing
- Social and affiliate marketing execution
Your product-development work is coordination and tracking only — keeping projects, timelines, and my decisions moving. Vendor and supplier relationships are owned separately.
Who you are:
- A proactive owner — you move work forward without being told each step, and flag problems before they grow
- Organized under pressure — you hold several projects in motion at once and don't drop details
- A clear writer — your written English is crisp and professional; you can draft a clean
- Trustworthy and discreet — you'll handle personal and sensitive information with judgment, and you know what to escalate
- Systems-minded — you're comfortable in project tools and pick up new software (including AI tools) quickly
Experience & skills
Required:
- 2+ years as an Executive Assistant to a founder or senior executive (entrepreneurial environment preferred)
- Demonstrated project or vendor coordination — you've run something end-to-end, not just completed assigned tasks
- Experience managing executive travel and personal/life admin
- Hands-on with a project/workspace tool — Notion strongly preferred (Asana, ClickUp, Monday, or Trello also considered)
- Excellent written and spoken English
- Reliable computer, fast and stable internet, quiet workspace
Nice to have:
- Exposure to ecommerce or DTC brands (helpful context, not required)
- Experience working with US-based founders or on US business hours
- Comfort with AI and automation tools
