About the role
I run a US-based digital agency with several brands and ventures under it. The businesses are healthy. The bottleneck is me: I move fast, work across multiple projects at once, and need one excellent person whose job is keeping all of it organized, tracked, and moving.
This is not an admin task list. I'm looking for the person who becomes my operational right hand.
What you'll actually do
- Build and maintain the system that tracks everything in motion across my businesses (your tools of choice; you'll have freedom here)
- Turn my voice notes, calls, and quick messages into organized action items, and make sure none of them die
- Follow up with my team and vendors so things get done without me chasing
- Prep my day and my week: what's open, what's stalled, what I owe people, what needs a decision
- Review outgoing work for errors before it ships: typos, wrong date formats, currency mistakes, anything that would look off to an American audience
- The role spans several businesses plus some personal organization. You'll be the one person who sees the whole picture.
Who this fits
- You've supported a founder, CEO, or agency owner directly for at least 2 years, and you can describe the systems you built for them
- Excellent written AND spoken English. We'll talk on calls regularly, and you'll write messages on my behalf.
- You're proactive to the point of being slightly annoying about follow-ups, but low-maintenance with my time. You take direction, run quietly, and come back with it done. Updates are short and clear. I'm looking for a silent partner who executes, not someone who needs meetings about meetings.
- You catch what others miss. Typos, formatting inconsistencies, and small errors genuinely bother you.
Comfortable with tools like Notion, ClickUp, Trello, Slack, Google Workspace, and quick to learn whatever a task needs
- You build automations, not just use tools. If you've connected systems with Zapier or Make, built a Notion or ClickUp setup from scratch, or used AI to eliminate repetitive work, tell me about it in your application.
The growth path
Part-time to start, around 20 hours a week, on purpose: we both make sure it's a great fit. The plan is full-time within 60-90 days if it's working, and you'll recieve a pay review at 90 days. I'm looking for someone long-term. I've run my agency for 18 years and keep clients and people for years, not months.
