JOB OVERVIEW

We are looking for a Project Manager / Operations Virtual Assistant to support a growing AI consulting business that helps companies improve their systems, workflows, and operations using AI and automation.
This role is best for someone who is highly organized, proactive, and confident managing tasks and projects. You will work closely with the founder and help keep projects, systems, and daily operations running smoothly.

This is a full-time position with U.S. working hours (EST).

Job duties and responsibilities:

Project Management & Execution
- Manage internal and client-related projects from planning to completion
- Break down high-level strategies into actionable task lists
- Track deadlines, deliverables, and priorities
- Proactively follow up to prevent bottlenecks
- Identify risks, delays, or gaps early

Operations & Systems Development
- Help build and improve internal systems
- Document workflows and create clear SOPs
- Keep project management tools organized and up to date
- Support the Founder in strengthening operational structure

Communication & Coordination
- Act as a central coordination point between the Founder and implementers
- Provide clear progress updates and next steps
- Communicate professionally via chat, email, and occasional calls
- Suggest workflow improvements when you see inefficiencies

Executive Support
- Take ownership of delegated tasks with minimal supervision
- Reduce the Founder’s operational workload
- Proactively look for ways to increase efficiency

Qualifications
- Excellent written and verbal English communication
- Proven experience as an Executive VA, Operations VA, or Project Manager
- Strong organizational and time management skills
- Ability to manage multiple projects simultaneously
- Tech-savvy and quick to learn new tools
- High ownership mindset (you don’t wait to be told what to do)

Nice to Have:
- Experience with AI tools or automation platforms
- Experience usingGHL, ClickUp, Asana, Notion, or similar tools
- Startup or founder-support experience
