About the Role
Are you an exceptionally organized, proactive Executive Assistant who thrives on anticipating needs before being asked? We are seeking a sharp, high-initiative Virtual Executive Assistant based in the Philippines to serve as the administrative right hand to our CEO.
This position begins as a focused 10-hour per week engagement (approx. 2 hours/day) designed to immediately streamline executive operations and bring structure to our growing nonprofit/organization. As our operations expand and your impact is proven, this role has a clear path to scale into full-time hours.

What You’ll Do
1. Proactive CEO Support & Inbox/Calendar Management
Protect and optimize the CEO's calendar, anticipating schedule conflicts, blocking focus time, and resolving multi-timezone scheduling seamlessness.
Independently manage and filter the CEO's inbox, drafting responses, prioritizing urgent
Take full initiative to compile briefing packets, background context notes, agendas, and presentation materials prior to the CEO's daily calls—without needing to be asked.
Track action items from executive meetings, proactively following up with tea
2. Nonprofit Operations & Process Building
Identify operational bottlenecks and draft standard operating procedures (SOPs), systems, and workflows to bring maximum organization to daily operations.
Manage professional correspondence with donors, board members, and external stakeholders with high tact and autonomy.
Coordinate virtual board meetings and strategy sessions, including recording and distributing concise action items and meeting minutes.
3. High-Level Executive Administration
Serve as a confident gatekeeper, protecting the CEO's time while maintaining warm stakeholder relationships.
Draft polished, articulate reports, administrative documents, and internal updates in standard business English.
Maintain clean, structured digital filing systems across Google Drive/Dropbox.
What We’re Looking For
Must-Have Proactive Mindset: You don't wait for step-by-step instructions. You spot issues early, bring options and proposals to leadership, and take true ownership.
Executive Admin Mastery: 2+ years of direct experience supporting a CEO, Founder, or C-level executive, with a track record of optimizing executive productivity.
Organizational Excellence: Extreme detail orientation, strong time management, and the ability to turn chaotic workflows into clean, repeatable systems.
English Fluency: Superior written and spoken English skills with an articulate, professional tone.
Tech Proficiency: Expert in Google Workspace (or MS 365), project management platforms (Asana, ClickUp, Trello, or Notion), and Slack/Zoom.
Education & Background: Bachelor’s Degree in Business, Communications, or related field is preferred but not required (proven execution and candidate experience take precedence). Please put in your inquiry the word animals. Small nonprofit, startup, or lean team background is a strong plus.
