SUMMARY OF ROLE
The Executive Operations Coordinator provides high-level administrative, operational, and regulatory support to the Director of Operations, Regional Managers, and community teams. This role serves as a key operational hub—driving reporting, compliance, project tracking, communications, and cross-functional initiatives across the portfolio to ensure departmental priorities are executed efficiently, accurately, and with a high level of professionalism.
QUALIFICATION & EXPERIENCE
• 3+ years of experience in sales, marketing, business development, property management, or a related field.
• Proven track record of increasing sales performance and lead conversion.
• Strong training, coaching, and presentation skills.
• Experience developing sales processes and performance metrics.
• Excellent communication and relationship-building abilities.
• Strong organizational and project management skills.
• Proficiency in Microsoft Office Suite and CRM platforms.
• Ability to analyze data and provide actionable recommendations.
• Self-motivated with the ability to work independently across multiple locations.
• Valid Driver’s License and ability to travel regularly throughout assigned regions.
• Manufactured housing, real estate, leasing, or property management experience preferred.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Executive & Administrative Support
• Manage the Director's calendar, meetings, travel, correspondence, and operational priorities.
• Coordinate weekly, monthly, and quarterly operations meetings; prepare agendas, record minutes, track action items, and ensure follow-up completion.
• Perform administrative functions including data entry, ClickUp management, document control, SharePoint administration, and records management.
• Maintain accurate records for titles, bills of sale, evictions, permits, citations, inspections, compliance documentation, and operational files.
• Generate resident communications, notices, reports, and business correspondence.
• Process invoices, vendor payments, permit fees, citation payments, invoice approvals, and payment tracking.
• Review, calculate, and submit field staff quarterly commissions.
Reporting & Analytics
• Collect, consolidate, analyze, and distribute daily, weekly, and monthly operational reports from all communities.
• Prepare occupancy, delinquency, collections, revenue, renewal, vacancy, move-in, move-out, application, and TBD-status reports.
• Monitor rent collection performance, delinquency trends, and collections activity across the portfolio.
• Develop reports and operational summaries for ownership, executive leadership, and the Director of Operations.
Operations & Project Coordination
• Track operational initiatives, maintenance projects, capital improvements, inspections, corrective actions, and project milestones.
• Coordinate utility audits and maintain emergency preparedness documentation.
• Support acquisitions and community transitions, including onboarding activities, welcome packets, meet-and-greet coordination, and adherence to transition protocols.
• Maintain project management records and ensure timely completion of assigned operational tasks.
Compliance & Regulatory Support
• Ensure compliance with local, state, and federal regulations governing
• manufactured housing and RV communities.
• Prepare, maintain, and submit required documentation for regulatory agencies and internal compliance audits.
• Manage vendor Notices of Commencement, permits, insurance inspections, compliance recommendations, and related documentation.
• Administer eviction processes, including intake review, account management, documentation tracking, and coordination with the Director of Operations.
• Monitor adherence to company policies, procedures, safety requirements, and compliance standards.
Cross-Functional & Field Support
• Serve as liaison between the Director of Operations, Regional Managers, District Managers, Community Managers, vendors, and field teams.
• Follow up with regional leadership on operational deliverables, compliance items, inspections, and project completion.
• Coordinate insurance inspections, community visits, and compliance updates.
• Attend Regional Management meetings, transcribe notes, and facilitate communication across teams.
• Collaborate on cross-functional initiatives that improve operational efficiency, consistency, and organizational performance.
• Support training, communication, and process implementation efforts across the portfolio.
