Executive Assistant – Growth & Operations Partner
We’re looking for a sharp, proactive Executive Assistant who can own the rhythm of our growing business — not just take orders.
This is not a traditional admin role. You will be the person who keeps everything moving, tracks what matters, and surfaces what’s next so the founders can stay focused on growth.
What You’ll Own
- Track and report key growth metrics weekly (client acquisition, retention, revenue movement, team KPIs, pipeline health)
- Keep the founders’ calendars, priorities, and follow-ups tightly managed
- Schedule and coordinate events, podcasts, and webinars — including outreach, confirmations, and thorough follow-up
- Drive internal accountability — follow up on open loops, deadlines, and action items without being asked
- Coordinate cross-team handoffs and make sure nothing falls through the cracks
- Prepare concise weekly scorecards and dashboards so we always know the real state of the business
- Support scheduling, meeting prep, and post-meeting action tracking
- Flag bottlenecks early and propose solutions
Who You Are:
- Highly organized and metrics-minded
- Comfortable owning outcomes, not just tasks
- Strong written English and clear communicator
- Proactive — you don’t wait to be told what needs attention
- Experienced working with U.S.-based founders/teams (real estate or service businesses preferred)
- Reliable internet and a professional home office setup
Requirements:
- 2+ years experience as an Executive Assistant, Operations Coordinator, or similar high-ownership remote role
- Proven experience tracking and reporting business metrics
- Comfortable with Google Workspace, project tools (Go High Level/Slack/or similar), and basic dashboards
- Available during overlapping U.S. business hours
