About Us
Banner Mountain Media is a U.S.-based video production and marketing agency serving home-service businesses, real estate firms, and architecture studios. We run a fast-moving production and client-service pipeline across a small team, and nothing can afford to fall through the cracks.
Role Overview
This is a project management role first. The executive-assistant side is not traditional EA work: no personal errands, no calendar-only support. Every admin task here exists to keep projects moving and clients informed.
You own the day-to-day operating rhythm of the business: tracking deliverables and deadlines across the team, keeping Notion clean and current, escalating stalled work before it becomes a problem, and handling the client communications that keep accounts healthy. Your job is that nothing slips and nobody has to ask twice.
This role requires consistent availability, reliable performance, and a long-term commitment.
Responsibilities
Own the Notion workspace: task and project tracking, status hygiene, deadline monitoring across the whole team.
Track deliverables end to end and flag stalled or overdue work before it becomes urgent, not after.
Run the team's operating cadence: check-ins, follow-ups, capacity awareness across editors and specialists.
Own day-to-day client communications: status updates, timeline changes, scheduling, and follow-ups, in a clear and professional voice.
Handle client success operations at a basic level: track deliverable health per account, flag at-risk clients early, and make sure clients hear from us before they have to ask.
Support the founder with calendar and inbox triage where it keeps projects and clients moving.
Coordinate onboarding and process documentation as the team and client roster grow.
Communicate clearly and proactively. If something is behind, we hear it from you first, not from a client.
Required Skills & Experience
Demonstrated project management experience: you can show us a system you built or ran, not just a to-do list you kept for yourself.
Hands-on Notion experience: databases, relations, views, and using them to track real deliverables (not just note-taking).
Comfortable owning deadline tracking and escalation across a team you don't directly manage.
Direct client communication experience in writing: status updates, timelines, and follow-ups with US-based clients.
Clear written English and proactive communication (you flag problems before being asked).
Stable high-speed internet and full-time availability with US business-hours overlap.
Preferred (but not required)
Experience supporting a founder or small agency directly.
Client success or account coordination experience (check-ins, retention, at-risk flagging).
Familiarity with a marketing/creative agency's workflow (client production pipeline, deliverable cycles).
Experience with GoHighLevel (GHL) or similar CRM/ops tools.
