JOB OVERVIEW

MadeEA is seeking an AI-Enhanced Executive Assistant to become the strategic right hand of a high-performing Founder & CEO.

This is more than a traditional administrative role. You'll serve as a trusted executive partner: anticipating needs, solving problems independently, leveraging AI to maximize productivity, and driving execution across key business priorities with minimal direction.

What You'll Be Doing
You'll provide high-level executive support across multiple business functions, including but not limited to:
-Executive Operations & Calendar Management – Manage an ever-changing calendar, prioritize meetings, coordinate across time zones, and protect the executive's time.
-Inbox & Communication Management – Handle email communications, draft responses, prioritize important messages, and ensure nothing falls through the cracks.
-AI-Powered Research & Productivity – Use ChatGPT, Claude, Gemini, Perplexity, and other AI tools to accelerate research, summarize information, prepare reports, and streamline workflows.
-Project & Task Management – Coordinate priorities across departments, monitor deliverables, maintain action items, and ensure projects move forward without constant follow-up.
-Documentation & SOP Creation – Create meeting notes, presentations, process documentation, reports, and executive summaries with exceptional attention to detail.
-Business & Partnership Support – Assist with investor communications, partnerships, recruitment coordination, branding initiatives, and special executive projects.
-Travel & Logistics – Coordinate international travel, accommodations, itineraries, and executive schedules.
-Confidential Executive Support – Handle highly confidential information with professionalism, discretion, and sound judgment.

You're a Perfect Fit If You:
-Have 3+ years supporting founders, CEOs, or C-level executives
-Thrive in fast-paced startup or high-growth environments
-Take initiative instead of waiting for instructions
-Think several steps ahead and anticipate executive needs
-Are highly organized with exceptional attention to detail
-Communicate confidently in excellent written and spoken English
-Stay calm under pressure and can manage multiple priorities
-Have strong experience with Google Workspace, Slack, Notion, Asana, ClickUp, or similar productivity tools
-Are highly proficient with AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar platforms
-Can maintain absolute confidentiality and executive-level professionalism
-Have reliable high-speed internet and a distraction-free home office
