JOB OVERVIEW

We are seeking a highly organized, proactive, and detail-oriented Philippines-based Family Education & Operations Coordinator to help manage the academic schedules, school communications, and educational needs of three children attending a private international school in Houston, Texas.

This is a long-term remote position for someone who is exceptionally responsible, sharp, warm with children, and confident communicating with parents, teachers, and school administrators.

Primary Responsibilities
Monitor school emails, parent portals, newsletters, calendars, and announcements daily.
Maintain a separate academic calendar and task list for each child.
Track assignments, assessments, school projects, forms, permission slips, interviews, conferences, and important deadlines.
Schedule and coordinate parent-teacher conferences and other school meetings.
Prepare brief summaries before meetings so the parent understands the important topics, concerns, and decisions required.
Attend selected virtual school meetings when authorized and take detailed notes.
Draft professional emails to teachers, administrators, tutors, and school staff for parent approval.
Follow up with teachers regarding assignments, academic concerns, missing information, or student support.
Communicate with the children regularly regarding school responsibilities, upcoming deadlines, and areas where they may need assistance.
Monitor academic progress and immediately flag important concerns.
Coordinate tutors, extracurricular activities, camps, school events, registrations, and related family logistics.
Keep all school documents, reports, forms, and communications organized.
Provide a concise weekly report showing:
What happened that week
Upcoming deadlines and events
Academic concerns
Items requiring the parent’s decision
Follow-ups still in progress
Anticipate issues and deadlines instead of waiting to be reminded.
