Executive Operations Coordinator – International Wholesale
Pay: $260 USD per week (paid weekly)
Hours: Monday to Friday, 9:00am–5:00pm Sydney time, with flexibility during New York and Paris market weeks

Are you someone who thrives on organisation, communication and keeping everything running smoothly?
We're looking for an exceptional Executive Operations Coordinator to support a fast-paced international wholesale business through New York and Paris Market Weeks and the broader international wholesale sales cycle.
You'll sit at the centre of sales, brands, marketing, logistics and international retail buyers—coordinating calendars, buyer appointments, sales tools, wholesale orders and retailer records. This is a detail-heavy, fast-moving role for someone who genuinely enjoys bringing structure to busy environments, following through on every detail, and making sure nothing falls through the cracks.

What you'll own
- Manage calendars and showroom schedules for New York and Paris Market Weeks, including buyer appointment outreach, confirmations and changes.
- Coordinate professional communication with international buyers regarding selections, order amendments, pricing, line sheets and outstanding information.
- Prepare and distribute lookbooks, line sheets and sales materials across multiple brands, ensuring accuracy and brand consistency.
- Collate and process wholesale orders following buyer appointments, chasing missing selections and resolving discrepancies.
- Maintain accurate buyer databases and CRM records, tracking orders, retailer history and communications.
- Act as the central coordination point across sales, marketing, logistics and brands—keeping projects moving and proactively identifying issues before they become problems.

What we're looking for
We're looking for someone who is highly organised, proactive and enjoys coordinating multiple moving parts.
Essential
- Experience coordinating operations, projects, sales administration, order management, customer accounts, or executive support in a fast-paced environment.
- Excellent written and verbal English.
- Outstanding organisational skills with exceptional attention to detail.
- Strong follow-through and the ability to manage multiple priorities independently.
- Confident communicating professionally with customers, suppliers, buyers and internal stakeholders.
- Comfortable using CRM systems, Google Workspace, Microsoft Office and spreadsheets.
- Available to work Sydney business hours with flexibility during busy international sales periods.
Highly regarded (but not essential)
- Experience in fashion, apparel, footwear, accessories or other product-based businesses.
- Experience in wholesale operations, merchandise coordination, logistics or order management.
- Experience supporting US, Australian or international business customers.
- Experience with JOOR, NuORDER, Salesforce, HubSpot or similar CRM platforms.
- Experience using ChatGPT, Claude or similar AI tools in your daily workflow.
