Part Time
$815/month for 20 hours per week

ABOUT THIS ROLE
I am an entrepreneur based in Kuwait. I hold ownership stakes in multiple companies across the Gulf and I run an e-commerce consulting practice. I am also a mother of two boys.
I am hiring my first executive assistant. I am looking for one person to grow with over years, not a task-taker I replace every six months. That means I am hiring slowly, paying at market, and building the role around what you are actually good at.
The hours are deliberately part-time and the pay reflects seniority rather than volume. I would rather have 20 excellent hours than 40 average ones.
WHAT YOU ARE WALKING INTO
Be clear-eyed about this before you apply. There is no system here yet. My calendar is reactive, my inbox is not triaged, and the structure that should exist across four businesses, a consulting practice, and a household does not exist. That is not a warning. That is the job.
I am not looking for someone to maintain a well-run machine. I am looking for someone who walks into disorder, builds the structure, and then runs it. That means taking charge rather than waiting to be told. If you are happiest receiving a clear task list each morning, you will be frustrated here. If you have ever looked at someone's chaotic week and thought "I could fix this in a month," this is your role.
WHAT YOU WILL DO IN THE FIRST 90 DAYS
- Own my Google Calendar completely, including booking, moving, and declining meetings on my behalf
- Triage a dedicated assistant inbox, flag what needs me, and handle the rest
- Make phone calls/Send texts to schedule and confirm appointments for the week ahead
- Correspond with suppliers and vendors as my assistant
- Draft replies to consulting clients for my review
- Protect a recurring deep work block on my calendar every week and defend it against encroachment
- Send a written end-of-day summary on WhatsApp
- Build and maintain a shared Google Sheets dashboard for tasks and follow-ups
- Plan weekly meals for me and for my two sons, built around defined nutrition targets rather than just recipe selection, and produce the grocery list and prep schedule that goes with it
WHAT THE ROLE GROWS INTO
As trust builds, this expands to include project and vendor follow-up across my companies, travel planning, client-facing coordination for the consulting practice, and broader household and lifestyle coordination.
Personal and family logistics are part of this role from day one, not an afterthought bolted on later. If running someone's life alongside their businesses is not what you want from your work, this is not the right fit, and I would rather we both know that now.
REQUIREMENTS
- 4 or more years supporting a founder, executive, or business owner, with at least 2 of those in a senior or standalone capacity
- Excellent written English. You will be writing on my behalf.
- Confident spoken English. You will be making calls to businesses in Kuwait and Saudi Arabia.
- Advanced Google Workspace skills, especially Calendar, Gmail, and Sheets
- Practical working knowledge of nutrition and meal planning, including how to build a week of meals around a daily protein target
- Comfortable working independently with limited supervision, and willing to ask questions when something is unclear
- Reliable internet with a backup connection, and a plan for power interruptions
PREFERRED
- Experience working with a client or employer in Kuwait, Saudi Arabia, UAE, or Qatar
- Experience supporting someone who runs more than one business at a time
- A formal nutrition background, such as a Nutrition and Dietetics degree, a nursing qualification, or a recognised nutrition certification
- Comfort with AI tools such as ChatGPT, Claude, or Gemini in daily work
SCHEDULE AND PAY
- 20 hours per week, Sunday to Thursday, 2:00 PM to 6:00 PM Philippines time
- USD 815 per month
- Start date within 4 to 6 weeks
- Long-term role with scope and pay reviewed at 90 days
HOW TO APPLY
Applications that do not follow these instructions will not be reviewed. This is deliberate.
1. Begin your application with the words DEEP WORK on the first line.
2. In no more than 250 words total, answer these four questions:
- Describe one time you walked into a disorganised situation and built a system that outlasted you. What did you actually do?
- You are asked to move a meeting with an important partner. You cannot reach the executive. What do you do?
- How would you build a week of meals for someone who needs to hit a specific daily protein target? Two or three sentences is enough.
- What is one thing a previous employer did that made you better at your job?
3. Record a voice message of 60 to 90 seconds in English, introducing yourself as though you are calling a supplier to confirm an appointment for me. Upload it to Google Drive and include the link.
4. Include a link to your CV.
I read every application that follows the instructions. Shortlisted candidates go to a 30 minute interview, then to a short paid trial project of 3 to 4 hours, paid at the full hourly rate whether or not you are hired. The trial includes a real meal planning task alongside the calendar and inbox work, so please only apply if that side of the role genuinely interests you.
