About the Role
We are seeking a highly organized, proactive, and experienced Executive Administrative Assistant to provide dedicated support to a business owner overseeing multiple business ventures, including a construction company, real estate holdings, a farm, and various community initiatives.
This role is ideal for someone who thrives in a fast-paced environment, enjoys bringing structure to busy workflows, and can confidently manage confidential information while working independently.
Key Responsibilities
* Manage and organize a high-volume executive inbox, including prioritizing, categorizing, and responding to
* Coordinate calendars, schedule meetings, and manage appointments.
* Prepare daily
* Organize digital files and maintain accurate documentation.
* Assist with meeting coordination, note-taking, and follow-up on action items.
* Create, update, and maintain Standard Operating Procedures (SOPs) and internal documentation.
* Conduct online research and compile reports as requested.
* Assist with document preparation using Microsoft Word, Excel, and Google Workspace.
* Support multiple business entities with general administrative tasks.
* Coordinate with internal tea
* Help streamline administrative processes to improve operational efficiency.
* Maintain strict confidentiality when handling sensitive business and personal information.
* Accurately track working hours and productivity using Hubstaff.
Required Qualifications
* Minimum of 5 years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
* Exceptional written and verbal English communication skills.
* Advanced organizational and time management abilities.
* Proven experience managing executive calendars and
* High level of professionalism, discretion, and integrity.
* Strong problem-solving skills with excellent attention to detail.
* Ability to work independently with minimal supervision.
* Comfortable managing multiple priorities simultaneously.
Technical Requirements
Experience with:
* Google Workspace (Gmail, Google Calendar, Google Docs, Google Sheets, Google Drive)
* Microsoft Office Suite (particularly Excel and Word)
* Virtual meeting platforms (Google Meet, Zoom)
* Online collaboration and communication tools
* General file management systems
Experience with any of the following is a plus:
* QuickBooks Desktop
* Construction or project management software
* Contractor Foreman
* Shared network drives or cloud-based document management systems
* Hubstaff or other time-tracking software
Preferred Experience
Candidates with experience supporting executives in one or more of the following industries are highly preferred:
* Construction
* Engineering
* Professional Services
* Real Estate
* Small Business Operations
Experience supporting executives with multiple business interests is a strong advantage.
