ROLE TITLE: Bookkeeper / Finance Administrator (Offshore, Part-Time)
Hours: Approx. 2 hours/day, 5 days/week (~10 hours/week) extending to more hours.
Reports to: GM — Sonya Keenan
Entity: Changing Habits (Divitiae Health Pty Ltd t/a Changing Habits)
Location: Remote / Offshore (via agency)

ABOUT THE ROLE
Changing Habits is a fast-moving ecommerce brand on Shopify with ~1,100+ orders per month. We operate
across three core platforms — Shopify, CIN7, and Xero — and need a dedicated bookkeeper who can keep our
numbers clean, current, and trustworthy on a daily basis.
This is not a monthly catch-up role. We run the business day to day and we need someone who does the same
with our financials. If something doesn't reconcile, we need to know within the day — not at the end of the
month.
WHAT YOU'LL DO
• Daily reconciliation of bank accounts, Shopify settlements, and PayPal/gateway deposits in Xero
• Match and clear supplier invoices against purchase orders in CIN7 and Xero
• Flag anomalies, missing settlements, or overdue payables immediately — not at end of month
• Keep Xero accounts payable current and accurate (accrual basis, not cash)
• Cross-check incoming invoices against expected amounts and raise queries where figures don't align
• Support transition to accrual-based COGS reporting so gross profit reflects actual stock sold, not invoices
paid
• Assist with preparation of data and reports to support BAS lodgement
• General financial and admin including forms, follow-ups, and document management as directed
WHAT YOU NEED
• Proven bookkeeping experience — you must be confident with debits, credits, bank reconciliations, and
accounts payable is essential
• Xero — strong working knowledge is essential
• Ecommerce experience essential — you must understand how online store settlements, refunds, and order
flows work
• Experience with a stock management / inventory system (CIN7 or equivalent) – preferred however can be
trained
• Comfortable with spreadsheets and basic financial analysis — you'll extract, review, and flag data regularly
• Detail-oriented and proactive — if something doesn't look right, you raise it the same day
Highly Valued
• Shopify — experience reading and reconciling sales data, settlements, and payout reports
• CIN7 — direct experience preferred; we can train the right person on CIN7 specifics
• Experience supporting a small ecommerce team where you own the day-to-day financial picture
WHAT WE'RE NOT LOOKING FOR
This is not an accounting or CFO role. We don't need tax strategy or high-level financial planning. We need
clean books, daily reconciliation, and someone who takes ownership of keeping the numbers right. You won't be
managing payroll however assisting with this.
HOW IT WORKS
• Offshore role placed, flexible hours
• Tasks are routine and structured — you'll have a defined set of daily and weekly responsibilities
• Day-to-day management and task direction sits with Ashur (GM)
• Charity (Finance & Operations Manager) retains oversight of payments and payroll
• Approximately 2 hours/day — timing flexible, ideally afternoons AEST so settlements from the prior day
are available
• Over time, this role may expand to include CIN7 inventory support as a backup to our operations
coordinator
