JOB DESCRIPTION:
We are hiring two Operations Coordinators to join our growing leadership team at Kamarakay Services.
Kamarakay Services operates two service divisions based in California:
1. Acti-Kare Responsive In-Home Care – provides in-home care services for seniors, veterans, private pay clients, and long-term care insurance clients.
2. Feel At Home Support Services – provides support services to adults with disabilities through Regional Center programs, including Supported Living Services, Independent Living Services, and Personal Assistance.
This is not a basic virtual assistant role. We are looking for highly organized, proactive, detail-oriented professionals who can help keep daily operations running smoothly, follow up on tasks, support managers, monitor systems, and help leadership stay organized.
This role is ideal for someone with experience in operations, executive support, healthcare administration, home care, scheduling, billing, project coordination, or team accountability.

POSITION OVERVIEW:
The Operations Coordinator will support executive leadership by monitoring daily operations, tracking tasks, following up with managers, organizing communication, assisting with billing and invoicing, and helping make sure important items do not fall through the cracks.
You will primarily support and monitor the work of our current managers, including:
- Client & Staff Manager for Acti-Kare
- Administrative Coordinator for Feel At Home Support Services
You will not be responsible for hiring, firing, discipline, or major company decisions. However, you will be responsible for helping leadership maintain accountability, follow-up, organization, and operational consistency.
We are hiring two Operations Coordinators so that each person can have a primary area of responsibility while also being cross-trained to provide backup coverage for the other.
MAIN RESPONSIBILITIES:
Responsibilities may include:
Monitor executive
Prioritize
Draft professional
Monitor
Make sure managers are updating tasks and following through on assignments.
Monitor schedules in AaniieCare, SmartCare, and AxisCare.
Identify scheduling gaps, missed visits, missed clock-ins, and staffing concerns.
Follow up with managers regarding unresolved issues.
Assist with Regional Center billing.
Assist with invoicing in AaniieCare.
Help track client referrals and new service inquiries.
Assist with VA-related requests and follow-up.
Maintain organized records in Google Drive and company systems.
Prepare daily and weekly operations updates for leadership.
Help build and follow SOPs, checklists, and internal processes.
Communicate professionally with managers, staff, referral sources, and outside agencies.
Identify recurring issues and recommend process improvements.
SOFTWARE WE USE:
You do not need to know every system before starting, but you must be comfortable learning new software quickly.

Quo / OpenPhone
Microsoft Office
Experience with similar systems is helpful.

SCHEDULE
This position will start part-time during the training period and may grow into a full-time role.
Expected starting schedule:
20–25 hours per week to start
Must be available during California/Pacific Time business hours
Opportunity to increase hours during and after the 90-day introductory period
Long-term opportunity for full-time work
Target start date: July
COMPENSATION
Starting pay for this position is $6 USD per hour during the 90-day introductory training period, depending on experience.
This role will begin part-time at approximately 20–25 hours per week, with the opportunity to increase hours based on performance, training progress, and company needs.
Strong performers may be considered for increased hours, full-time work, and future pay increases after the introductory period.
Selected candidates may be invited to complete a paid skills assessment before the interview stage. The paid assessment is expected to take approximately 60–90 minutes and will be compensated at a flat rate of $15 USD upon completion.
