We are seeking an exceptional Executive Assistant to support our CEO in a fast-paced, entrepreneurial environment. Key Responsibilities
Executive Support
Manage the CEO's calendar, scheduling, and daily priorities.
Coordinate meetings, appointments, travel, and follow-ups.
Prioritize competing tasks and ensure deadlines are met.
Prepare meeting agendas, take detailed notes, and track action items.
Organize digital files, documents, and company resources.
Handle confidential information with professionalism and discretion.
Ensure the CEO stays focused on the highest-value activities.
Operations & Project Management
Build, manage, and optimize project workflows using ClickUp.
Create, document, and continuously improve Standard Operating Procedures (SOPs).
Develop systems that improve communication, accountability, and execution across the company.
Monitor project progress and ensure tasks stay on schedule.
Identify bottlenecks and proactively recommend solutions.
Bring structure and organization to multiple departments and ongoing initiatives.
AI & Automation
Leverage AI tools such as ChatGPT, Claude, Gemini, Perplexity, and other leading platforms to improve productivity and streamline operations.
Design, build, and manage AI agents that automate repetitive tasks and optimize business workflows.
Create AI-powered systems for documentation, research, project management, meeting summaries, and knowledge management.
Build automations using platforms such as n8n, Make, Zapier, Lindy, or similar workflow automation tools.
Continuously research and implement new AI technologies that improve efficiency, reduce manual work, and help scale the business.

Qualifications
We're looking for someone who has:
Excellent written and spoken English (near-native fluency required).
Advanced experience with ClickUp (required).
Proven experience supporting C-level executives or business owners.
Exceptional organizational and time management skills.
Strong understanding of business operations, workflows, and process improvement.
Experience creating SOPs, documentation, and scalable internal systems.
Hands-on experience using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar platforms.
Experience building AI agents and AI-powered automations.
Familiarity with workflow automation platforms such as n8n, Make,or Zapier, similar tools.
Strong prompt engineering skills and an understanding of how AI can improve business operations.
Excellent communication and interpersonal skills.
High attention to detail and exceptional follow-through.
The ability to manage multiple priorities with minimal supervision.
A proactive mindset—you solve problems before they become problems.

Position Details
Position: Part-Time Executive Assistant
Location: Remote
Hours: Approximately 15–25 hours per week, with the opportunity to grow into a full-time position.
Reports To: CEO
