Overview
We are looking for a highly organized Executive Assistant to support a busy founder with daily operations, communication, scheduling, and administrative follow through in a growing HR consulting business.
This role is ideal for someone who can help keep a founder organized, responsive, and focused while managing a high volume of moving pieces. The right person will help track communication, prioritize tasks, follow up on open items, coordinate client related work, and make sure important details do not get missed.
This is not a task only role. We are looking for someone who can think ahead, create structure, and support the founder as an extension of the business. You should be comfortable managing multiple priorities, working through them one step at a time, and keeping projects, communication, and daily operations moving forward.
The ideal candidate is structured, detail oriented, proactive, and reliable. They take ownership without needing constant direction and enjoy bringing order to a busy environment.
What You’ll Do
Manage the founder’s professional and personal calendar, scheduling, and meetings
Track
Help prioritize tasks, deadlines, client needs, and operational requests
Support client communication and internal coordination
Organize documents, files, notes, and business records
Track projects, next steps, and completion across workflows
Help create consistency in daily processes and administrative systems
Identify gaps in organization and suggest simple improvements over time
Support general business operations with strong accuracy, ownership, and follow through
What We’re Looking For (Required)
1–3 years experience as an Executive Assistant or an operations support role
Extremely organized with strong attention to detail
Strong follow-through and consistency in execution
Calm, steady, and structured working style
Familiarity with tools like Google Workspace, Notion, Asana, or similar
Experience supporting leadership teams or executives
Proactive and able to take ownership without micromanagement
Strong written and verbal English communication skills
Comfortable managing multiple responsibilities in a structured environment
Naturally process-oriented and focused on accuracy over speed
Reliable, disciplined, and consistent in daily execution
Nice to Have
Experience in HR, consulting, or professional services environments
Exposure to operations coordination or project tracking
Background as a legal assistant or experience reviewing, proofreading, or working with contracts and formal documents

Part-time (20 hours/week)

Pay: $5–$7/hour
