JOB OVERVIEW

We are seeking a highly organized, proactive, and professional Executive Virtual Assistant to provide direct support to the CEO. The ideal candidate will be responsible for managing daily administrative operations, coordinating schedules, handling communications, and ensuring the CEO's priorities are executed efficiently. This role requires exceptional communication skills, attention to detail, discretion, and the ability to work independently in a fast-paced environment.

Key Responsibilities

Executive Calendar & Schedule Management
• Manage and maintain the CEO's calendar, appointments, meetings, and travel arrangements.
• Coordinate internal and external meetings, including scheduling, confirmations, and follow-ups.
• Prioritize appointments and ensure the CEO's schedule is optimized for productivity.
• Send meeting reminders and prepare agendas when necessary.

Communication Management
• Answer and manage incoming phone calls professionally on behalf of the CEO.
• Screen calls, take detailed messages, and direct inquiries appropriately.
• Monitor, organize, and respond to emails on behalf of the CEO when authorized.
• Draft, proofread, and send professional correspondence and communications.

Administrative Support
• Prepare reports, presentations, meeting notes, and other business documents.
• Maintain organized digital filing systems and company records.
• Conduct online research and compile information as requested.
• Assist with data entry, document management, and administrative projects.

Task & Project Coordination
• Track action items, deadlines, and ongoing projects.
• Follow up with clients, vendors, tea ---------- mbers, and business partners as needed.
• Coordinate with various departments to ensure timely completion of tasks.
• Assist with special projects and business initiatives assigned by the CEO.

Client & Stakeholder Relations
• Serve as a professional point of contact for clients and business partners.
• Maintain confidentiality and professionalism in all communications.
• Build positive relationships while representing the CEO and organization.

Qualifications

Non-Negotiable Requirements
• Excellent verbal and written English communication skills.
• Neutral or professional English-speaking accent with strong phone etiquette.
• Ability to communicate confidently with executives, clients, and business partners.
• Minimum of 2 years of experience as an Executive Assistant, Virtual Assistant,
• Administrative Assistant, or similar role.
• Strong organizational and time management skills.
• Ability to work independently with minimal supervision.
• High level of professionalism, integrity, and confidentiality.
• Reliable high-speed internet connection.
• Dedicated home office workspace free from excessive background noise.
• Computer with updated hardware capable of supporting business applications.
