We are growing fast and the CEO needs a sharp, reliable, proactive Executive Assistant to sit alongside him in Ortigas and help manage the pace of a scaling business.
This is not a ceremonial role. You will manage the CEO's time, communications, and administrative world with genuine ownership. If something falls through the cracks, it falls on you to catch it first.
What you will do
Own the CEO's inbox: triage incoming mail, draft responses, flag priorities, and ensure nothing important is missed or left unanswered
Manage the CEO's calendar end-to-end, including scheduling, rescheduling, and protecting time for deep work
Book and coordinate all domestic and international travel including flights, accommodation, ground transport, and detailed itineraries
Act as a liaison between the CEO and internal stakeholders, ensuring action items fro
Prepare, format, and proofread documents, business proposals, reports, and presentations to a consistently professional standard
Take accurate meeting notes and distribute clear summaries with agreed actions and owners
Handle a range of ad hoc administrative tasks, research assignments, and operational support as directed
Maintain confidentiality across all business, commercial, and personal matters with complete professionalism
What we are looking for
Minimum 3 years experience in an EA, PA, or senior administrative role
Excellent written and verbal English communication skills
Advanced proficiency in Google Workspace or Microsoft Office, particularly Docs, Slides, and Sheets
Strong organisational skills and the ability to manage competing priorities without dropping the ball
A proactive, problem-solving mindset rather than a wait-and-be-told approach
High degree of personal integrity and discretion
Must be based in or able to commute to Ortigas, Pasig City
Nice to have
Experience supporting a founder or C-suite executive at a fast-moving company
Familiarity with project management tools such as Click-Up
Experience with travel booking platforms and expense management tools
Comfort working across time zones and communicating with international stakeholders
Exposure to staffing, outsourcing, or professional services industries
