About the Role
We are a US-based mortgage team closing 40–50 loans per year. We need a mortgage-fluent VA who can operate in two lanes simultaneously — loan officer assistant work and executive assistant work. This is a long-term role with a stable, growing team led directly by the loan officer. You will have real ownership of tasks and will not be micromanaged, but you will be held to clear daily standards.
This role starts at 20 hours per week with a direct path to 40 hours per week as volume grows and performance is demonstrated. We are building a long-term working relationship, not filling a short-term gap.
Lane 1: Mortgage (LOA)
Review and structure loan files for conventional, FHA, VA, DSCR, and Non-QM loans
Set up pre-approvals and prep files ahead of loan officer consults
Collect, organize, and follow up on borrower documents
Identify missing conditions and resolve proactively
Communicate with borrowers on document needs and file status
Update and maintain loan files in our LOS
Lane 2: Executive Assistant
CRM management — data entry, pipeline tracking, contact updates
Email
Create and update realtor marketing materials
Calendar management and task coordination
Follow up on outstanding borrower and referral partner communications
Daily end-of-shift reporting
Requirements
Minimum 2 years of US mortgage experience — conventional, FHA, and VA required; DSCR and Non-QM a strong plus
Experience setting up pre-approvals and structuring files independently
Familiar with at least one LOS platform (Encompass, Calyx, BytePro, or similar)
Strong CRM experience
Excellent written and spoken English — you will communicate directly with borrowers and referral partners
Must have overlap with US Central Time business hours — we will build the schedule around the right candidate
Reliable internet with backup power and backup internet
