About Us
Giant Peach is a creative agency working with clients across branding, design, and digital projects. We're a small, fast-moving team that cares about doing great work and keeping things organised behind the scenes. We're looking for a sharp, proactive VA to join us and help keep everything running smoothly.
About the Role
This is a varied, hands on role supporting the agency director and wider team with day-to-day operations. You'll be the person who keeps the inbox under control, the calendar on track, and the projects moving. You'll work closely with our delivery team, help us write winning proposals, and make sure nothing falls through the cracks.
This is 4 days per week, working remotely. We'd like you available during UK business hours (GMT/BST) ideally with at least a 4–5 hour overlap per day.
What You'll Be Doing
Email
- Monitor and manage the director's inbox, triaging, drafting replies, and flagging anything urgent
- Schedule and coordinate meetings, calls, and appointments
- Keep the calendar organised and send reminders ahead of key commitments
Project Administration
- Add tasks in ClickUp to request quotes from our delivery team when new projects come in
- Create clear internal handover documents so the team always knows what's expected on a project
- Track project status and chase outstanding actions when needed
Proposal Writing Support
- Assist with writing and formatting client proposals using Claude (AI) and Canva
- Pull together supporting materials, case studies, and pricing information as directed
- Ensure proposals are polished, on brand, and sent on time
CRM Management
- Keep the CRM up to date with contact details, deal stages, and activity notes
- Log communications and flag leads that need follow-up
- Assist with basic reporting on pipeline and activity
Team Admin Support
- Help the wider team with admin tasks as needed - document creation, formatting, research, scheduling
- Assist with onboarding materials, internal comms, and process documentation
- Be a reliable point of contact for operational queries
What We're Looking For
Experience & Skills
- 3+ years experience as a VA, EA, or in a similar admin/ops role, ideally within a creative, marketing, or agency environment
- Excellent written English. You'll be writing and editing on behalf of the director
- Strong organisational skills and attention to detail
- Comfortable managing multiple priorities and working independently
Tools You Should Know
- ClickUp – task and project management
- Canva – design and document formatting
- Gmail / Google Workspace –
- CRM – experience with any CRM (Pipedrive would be preferable)
- Claude or ChatGPT – comfortable using AI tools for writing and research
- Slack or similar – team communication
