Full-Time Virtual Assistant — Media & Content Operations

We're hiring a full-time VA to own our day-to-day content operations so our CEO can focus on growth, partnerships, and speaking engagements. This is a high-trust, high-responsibility role — not data entry.
Important: This role requires near-native English fluency — both written and spoken. You'll be writing public-facing content (show notes, YouTube descriptions, community posts) and communicating directly with the CEO daily via voice and video. If English isn't your strongest language, this isn't the right fit.
What You'll Do
Podcast & Audio Production (10–12 hrs/week)
Upload episodes to Spotify, Apple Podcasts, and YouTube
Generate and attach transcripts using AI tools
Write show notes and episode descriptions
Coordinate guest scheduling via Calendly
Create and schedule audiogram clips for social media
YouTube Management (6–8 hrs/week)
Upload videos with optimized titles, descriptions, tags, and thumbnails
Manage playlists and end screens
Monitor comments and flag anything needing a response
Track performance metrics weekly
Community Management (4–6 hrs/week)
Upload content to our Circle community
Monitor community engagement and respond to basic questions
Organize and tag community resources
Design Support (4–6 hrs/week)
Create social media graphics, thumbnails, and visual assets in Canva
Maintain brand consistency across all visual content
Resize and adapt creatives for different platforms
Admin & Operations (8–10 hrs/week)
Triage the CEO's inbox (Gmail)
Update contacts and deal stages in Notion CRM
Calendar management and meeting prep
Basic research tasks as needed
Maintain SOPs and checklists in Notion
Required Skills
Near-native English fluency — written and spoken. You'll write public-facing content and speak with the CEO daily. This is non-negotiable.
Experience with YouTube (uploading, metadata, thumbnails)
Experience with podcast hosting platforms (Spotify for Podcasters, Apple Podcasts Connect, RSS)
Experience using AI tools (Claude, ChatGPT, or similar) in your daily workflow
Comfortable working in Notion
Design skills — able to create and edit graphics in Canva or similar tools
Tech-savvy and fast learner — you'll also use Circle, Calendly, and Google Workspace
Self-starter who works independently, follows SOPs, and flags problems early
Reliable internet connection and quiet workspace
Nice-to-Have
Familiarity with the AI industry
Video editing experience
Experience supporting a CEO or founder directly
What Success Looks Like
Week 1: You've learned all our platforms, completed onboarding, and handled your first episode uploads and YouTube posts independently.
Month 1: You own the full podcast-to-publish pipeline. Episodes go live on time, every time. YouTube is updated same-day. Circle is active and organized. The CEO's inbox is clean.
Month 3: You're anticipating needs before being asked. You've improved our SOPs. You're flagging performance insights. The CEO spends zero time on operations.
Compensation & Growth
$1,000–$1,200 USD/month based on experience

Path to Content Operations Manager as the company scales
