We are seeking a high-performance Executive Assistant who thrives in a fast-moving, execution-heavy environment.
Position Summary
The Executive Assistant (EA) will directly support the VP of Development / Chief Asset Management Officer with daily communications, scheduling, and rigorous execution follow-through. You will act as an operational partner, ensuring that land acquisition, project entitlement, and permitting tasks move forward without friction. This role requires exceptional organizational skills and a strong background in real estate development or architectural operations.
Key Responsibilities
1. Communication & Stakeholder Triage
- Manage and filter high-volume inboxes; draft concise, professional replies to city officials, architects, and contractors.
- Track correspondence with partners, consultants, and clients to ensure zero communication backlog.
- Maintain a professional tone in all high-stakes external communications.
2. Task & Project Management
- Maintain and update complex project trackers in Lark, Google Sheets, or Salesforce.
- Proactively follow up with internal teams and external consultants to ensure project milestones (permitting, site visits, and escrow) stay on schedule.
- Help implement and manage CRM or task automation systems to streamline project workflows.
3. Scheduling & Cross-Border Coordination
- Manage calendars across multiple entities and time zones (U.S.–Asia).
- Schedule internal team syncs, consultant meetings, site visits, and board meetings.
- Prepare detailed agendas and distribute "Action-Item" recap notes with a clear reminder system for all parties involved.
4. Document & Research Support
- Organize and maintain digital files (blueprints, permits, and reports) in Dropbox/Box.
- Assist in preparing project presentations, meeting briefs, and development progress summaries.
- Support real estate development research, including zoning analysis and city-specific ordinance tracking.
Qualifications
- Experience: Minimum 2+ years supporting senior executives in Real Estate Development, Architectural Design, Home Building or related fields.
- Industry Knowledge: Understanding of residential project flow (LOIs, pro formas, and permitting timelines).
- Tech Stack: High proficiency in Lark, Google Workspace,and Dropbox, Microsoft Suites, Canva and project management softwares.
- Language: Excellent written and spoken English
- Presence: Sharp, organized, detail-oriented, discreet, and proactive.
