We are looking for a reliable and proactive full-time Executive Assistant of Operations to support a growing structural engineering client based in the southeastern United States. This client is known for innovative, efficient building designs for commercial, industrial, and high-end residential projects, licensed in multiple states, and committed to safety and quality.
In this role, you will track and report on key company metrics such as sales and production, providing visibility for leadership and team leads. You will manage sales follow-ups, update the CRM, and coordinate proposal workflows to ensure smooth sales operations. Supporting and eventually leading podcast operations will also be part of your responsibilities as the role evolves.
You will oversee and update Standard Operating Procedures (SOPs) in collaboration with team leads. Additionally, you will manage marketing and content execution including scheduling social media posts, planning newsletters, and coordinating articles. Acting as a liaison across marketing, sales, education, production, and leadership teams will be key to ensuring seamless communication.
Operational support will include removing workflow blockers, managing tools like Jira, Slack, Dropbox, Hubstaff (for time tracking and reporting), and other productivity software, and assisting with general administrative processes.
Candidate Requirements
Relevant work experience in operations or executive assistance is essential.
Proficiency with software and tools such as Jira, Slack, Dropbox, CRM systems, Hubstaff, time tracking, and other productivity tools is required.
Experience working remotely and adapting to a virtual environment is necessary.
Strong English proficiency in both spoken and written communication is essential.
Professionalism, a positive attitude, clear and prompt response times, and excellent communication clarity are expected.
A reliable internet connection and a well-equipped home office setup are mandatory.
Demonstrated commitment to the role, availability during agreed hours, and excellent time management skills are required.
Dependability, problem-solving abilities, and a willingness to learn and adapt in a dynamic work environment are crucial.
