We are seeking a highly organized, detail-oriented operations professional to support a psychiatrist-led guardianship evaluation practice based in Florida.
This role is critical in coordinating communication between attorneys, petitioners, patients, and a licensed physician, while ensuring all cases are handled efficiently, professionally, and with strict confidentiality.
This is not a basic virtual assistant role.
You will act as the central operations coordinator and will be responsible for maintaining structure, accuracy, and accountability across all active cases.

What You Will Own (End-to-End)
Manage high-volume inbox (attorneys, courts, petitioners)
Create and maintain a secure, centralized case tracking system
Coordinate psychiatric evaluations (physician + patient coordination)
Follow up on required documents and background information
Attend evaluations (Zoom) and take structured clinical notes (scribing)
Draft and prepare evaluation reports for submission
Submit reports via e-filing portals
Track invoices and oversee case completion through payment
