ROLE OVERVIEW
This is not a traditional VA role. I am hiring a high-trust, proactive right-hand operator to support a founder-led creative and growth marketing agency. This role is focused on driving
You will be expected to take a desired result, build the workflow, and ensure execution happens without constant direction.
KEY RESPONSIBILITIES
Founder Operations & Executive Support
• Manage inbox follow-ups and key communications
• Track commitments and ensure next steps happen
• Maintain calendar, scheduling, and meeting prep
• Turn ideas/voice notes into structured tasks
• Proactively remind and align founder priorities
• Ensure nothing stalls or gets missed
Strong preference for someone comfortable holding the founder accountable.
Sales Pipeline & Lead Support
• Manage Upwork proposals and outreach flow
• Track response rates and pipeline activity
• Maintain follow-ups and prevent stale leads
• Keep CRM updated with accurate deal stages
• Organize portfolio and case studies
• Support LinkedIn and cold
Systems & Operations
• Manage Zoho CRM and project coordination
• Maintain organized Google Drive structure
• Create and update SOPs and workflows
• Organize contracts and onboarding docs
• Track internal tasks and follow-ups
• Identify blockers before delays happen
Required Skills & QUALIFICATIONS (Highly Important)
• Strong written and verbal English communication
• High ownership and proactive mindset
• Strong problem-solving and decision-making skills
• Experience supporting founders or executives
• Experience with CRM and sales pipelines
• Highly organized with systems thinking ability
• Strong follow-through and attention to detail
• Able to work independently in fast-paced environments
Nice to Have
• Experience in marketing or growth agencies
• Background in sales operations or growth operations
• Experience in founder-led or startup environments
• Familiarity with building workflows and SOPs
• Experience with proposal writing and positioning
• Chief-of-staff or operations coordinator experience
