The Role
We are looking for a highly proactive, detail-oriented Virtual Assistant who will also serve as an Executive Assistant to leadership.
This is a dynamic role where you will:
• Handle real-time guest communication and operations
• Support internal processes and reporting
• Assist leadership with execution and coordination
You will work 40 hours per week across 5 days, aligned with U.S. time zones. Flexibility is important, as overtime may be required during high-demand periods such as weekends, turnovers, and peak seasons.
Core Responsibilities
Guest Operations (Approx. 60%)
• Monitor Airbnb, VRBO,
• Handle guest concerns, resolve issues, and de-escalate situations professionally
• Coordinate with cleaning and maintenance teams and confirm completion with photos/videos
• Assist with check-ins, turnovers, extensions, and guest requests
• Manage alterations and requests in line with company policies
• Track issues, flag recurring problems, and ensure resolution
• Assist with review management, responses, and damage claims
Owner & Team Coordination (Approx. 20%)
• Support reporting on revenue, occupancy, and guest experience metrics
• Maintain and improve SOPs and internal documentation
• Coordinate with internal teams (cleaning, maintenance, guest support)
• Assist with daily task tracking and operational follow-ups
• Identify inefficiencies and suggest process improvements
Executive Assistance (Approx. 20%)
• Manage calendars and scheduling across time zones
• Draft
• Assist with research (vendors, tools, market insights)
• Support leadership with projects and priorities
• Help organize workflows and internal systems
Must-Have Qualifications
• 2+ years experience as a Virtual Assistant in short-term rental, hospitality, or property management
• Strong understanding of STR operations (turnovers, guest communication, pricing, etc.)
• Excellent written and spoken English
• Highly responsive and able to work in a fast-paced environment
• Strong problem-solving skills and ownership mindset
• Experience with:
Airbnb, VRBO,
PMS tools (Hostaway or similar)
Slack, Google Workspace, Zoom
Notion or similar documentation tools
• Ability to work consistently within U.S. time zone coverage
Nice-to-Have
• Experience with pricing tools like PriceLabs
• Familiarity with automation tools (Zapier, Make)
• Bookkeeping or reconciliation experience
• Experience supporting founders or executives
• Background in operations or process improvement
Success Metrics (First 90 Days)
• Maintain 95%+ response rate within 5 minutes for guest communication
• Zero missed urgent issues or escalations
• Strong coordination with cleaning and maintenance teams
• At least 2 process improvements that increase efficiency
• Positive impact on guest experience and reviews
Compensation & Benefits
• Compensation: $800 – $1000/month (based on experience)
