About Us:
We are a growing e-commerce and brand distribution company based in Canada. We are expanding our operations and looking for a reliable and organized Administrative Virtual Assistant to join our small, remote team.
Position Overview:
This is a part-time administrative support role. You will work directly with the business owner to handle a wide variety of administrative, operational, and personal tasks, freeing up the owner to focus on business growth.
Responsibilities:
Bookkeeping and Invoices:
Assist with invoice tracking, basic bookkeeping tasks, and expense reconciliation.
Maintain accurate financial records and flag any discrepancies.
Email
Manage and triage business
Communicate with suppliers and brand contacts on behalf of the business owner.
Maintain records of communications and follow up on outstanding items.

Reporting and Data Entry:
Maintain weekly and monthly reports on business operations.
Update spreadsheets and internal trackers with accurate data.
Upload documents to cloud storage as needed.
Back-End Operations Support:
Manage open cases and tickets with online marketplaces, follow up and escalate when needed.
Monitor inventory health and coordinate inbound shipments.

Marketplace Listings:
Post items to various online marketplaces as directed.
Maintain listing accuracy, update pricing, and respond to buyer inquiries.
Trip and Calendar Planning:
Assist with planning business trips, including trade shows, flights, hotels, and logistics.
Help with personal trip research, bookings, and itinerary coordination.
Executive Assistant Support:
Help manage the business owner's schedule, reminders, and priorities.
Handle ad hoc tasks and personal administrative requests as needed.
What We Are Looking For:
Proven experience as a virtual assistant or executive assistant in an administrative role.
Fluent in English, both written and spoken.
Highly organized, detail-oriented, and able to manage multiple tasks independently.
Proficient in Microsoft Office (Excel, Word, Outlook) and Google Suite.
Comfortable with basic bookkeeping or willing to learn.
Reliable internet connection with a minimum speed of 25 Mbps. Please include a screenshot of your internet speed test results with your application.
Minimum 2 computer monitors.
A quiet workspace and a dedicated desktop or laptop.

Position Details:
Part-time, 20 hours per week, with potential to grow to full-time.
