THE ROLE:
We are looking for a highly capable Operations Manager to work directly with the founders of Ji Martial Arts as we scale.
This is not a traditional VA or admin role.
You will act as a right-hand operator — helping manage day-to-day operations, content workflows,
This role suits someone who is organised, proactive, detail-obsessed, and able to take full ownership of tasks without constant hand-holding. You will be working alongside a small, experienced team and will be responsible for making sure things get done — not just coordinating them.
KEY RESPONSIBILITY EXAMPLES:
The following are examples of the type of work this role involves — this list is not exhaustive. As the business scales, the scope will grow and evolve. If you need a fixed job description to feel comfortable, this is not the right role for you.
- Rebuild the Ji Notion workspace from the ground up and manage it as the central operating hub for the entire business
- Own the full YouTube long-form production pipeline — from generating and getting ideas approved, to overseeing edits, building in CapCut, creating thumbnails, and scheduling

- Research, outreach, and onboard martial arts influencers and brand ambassadors — managing the full relationship and holding them accountable to content targets
- Coordinate the team day to day — setting weekly call agendas, taking live action items, chasing deliverables, and quality-checking work before it reaches the founders
- Build and manage a content reposting system in Airtable — tracking performance across all platforms and flagging videos eligible for reposting based on data
- Act as the primary point of contact for all manufacturer and supplier communications — handling negotiations and order management end to end
WHAT WE ARE LOOKING FOR:
- Strong written and spoken English
- High level of organisation and attention to detail
- Comfortable working across tools including Notion, Airtable, Google Drive, and social platforms
- Able to take initiative and make decisions without waiting to be told
- Experience managing or coordinating a team
- Comfortable handling financial admin and supplier communications
- Background in operations, marketing, media, or executive support is a strong plus
- Genuine interest in martial arts, fitness, or performance culture is a plus
IMPORTANT:
This is not a basic admin or data-entry role.
