We are a specialty law firm based in Cleveland, Ohio, USA, and we are hiring a full-time Executive Assistant to support our CEO, who is also a practicing attorney.
This is an executive administrative support role for someone who is highly organized, proactive, detail-oriented, and dependable. You will help manage the CEO’s schedule, inbox, priorities, follow-up, and daily workflow while also helping keep important business and legal deadlines on track.
This is not a basic VA or scheduler position. We are looking for someone who can become a trusted right hand—someone who can protect time, organize moving parts, stay ahead of deadlines, and help bring calm and structure to a fast-moving environment.

What You’ll Be Responsible For
- Managing the CEO’s daily schedule, calendar, and priorities
- Protecting focus time and helping keep attention on the most important work
- Managing inboxes, reviewing
- Coordinating meetings, Zoom calls, reminders, and follow-up
- Handling travel arrangements and itinerary planning
- Serving as a gatekeeper for communications, scheduling, and interruptions
- Communicating professionally with internal tea
- Tracking important deadlines, including trials, case deadlines, meetings, and business deliverables
- Staying highly organized and making sure follow-up items do not fall through the cracks
- Assisting with referral, networking, and marketing-related outreach and follow-up
- Maintaining systems, databases, and workflows
- Supporting process improvement and helping create order and accountability across ongoing priorities

Required Qualifications
- 3+ years of experience as an Executive Assistant to a CEO, business owner, attorney, or similar high-level leader
- Strong experience with calendar management, inbox management, and executive support
- Experience in a role where deadlines, follow-up, and attention to detail were critical
- Strong written and verbal English communication skills
- Reliable high-speed internet
- Quiet, professional remote work environment
Preferred Qualifications
- Experience supporting an attorney, law firm owner, or other high-accountability executive
- Experience in a law firm or other deadline-driven professional services environment
- Familiarity with legal calendars, deadlines, or case-related administrative support
- Experience working remotely with U.S.-based leadership
Software / Tech Skills
You should be comfortable using and learning cloud-based tools, including:
- Google Workspace and/or Microsoft Office
- Gmail and calendar systems
- Zoom
- CRM and database platforms
- CMS platforms
- Zapier
- Project management tools
- Cloud-based document and file management systems
Schedule
- Full-time
- 6:00 AM to 3:00 PM EST
- You must be highly responsive during working hours
- You must stay on top of upcoming priorities and details, especially trials, case deadlines, meetings, and follow-up items
Pay and Benefits
- Starting at $7.00/hour DOE
