JOB OVERVIEW

Role Overview
We are seeking a highly experienced and proactive Executive Assistant to directly support the CEO of a fast-paced web development and ecommerce agency.

This is a high-impact role for someone who can take ownership, think ahead, and confidently manage both executive support and project coordination responsibilities. The ideal candidate is extremely detail-oriented, organized, and capable of moving projects efficiently from sales to fulfillment.

Key Responsibilities

Executive Support
• Manage CEO’s calendar, inbox, and daily priorities
• Proactively identify tasks to take off the CEO’s plate
• Coordinate meetings, follow-ups, and internal communications

Project Management
• Oversee project flow from sales handoff to fulfillment
• Ensure timelines, deliverables, and client expectations are met
• Coordinate with internal teams (design, dev, operations)
• Track project progress and flag any issues proactively

Operations & Coordination
• Maintain organized documentation and SOPs
• Assist in streamlining workflows and improving processes
• Communicate with clients and stakeholders when needed

Must-Have Requirements
• Proven experience as an Executive Assistant supporting a CEO or founder
• Experience working in a web development agency (non-negotiable)
• Strong background in ecommerce
• Demonstrated experience in project management / coordination
• Exceptional attention to detail
• Strong written and verbal English communication skills
• Highly organized, proactive, and reliable

• Comfortable working in fast-paced, high-accountability environments
• Strong understanding of ecommerce workflows and agency operations
• Able to manage multiple priorities without dropping details
• Process-driven with a continuous improvement mindset
