We are looking for a highly organized and proactive Ecommerce Executive Assistant who will also support our HR/recruiting efforts. This is a versatile role — you'll be involved in day-to-day ecommerce operations as well as helping us find and interview great talent.
IMPORTANT: We are an AI-first team. You must be actively using AI tools (ChatGPT, Claude, Gemini, Midjourney, etc.) in your daily workflow. We expect you to leverage AI to work faster, smarter, and more efficiently across all tasks — from writing product descriptions, to drafting interview questions, to analyzing data. If you're not already using AI heavily, this role is not for you.
Responsibilities:
Ecommerce Support:
- Manage and update product listings across platforms (Shopify, Amazon, etc.)
- Process and track orders, handle customer inquiries and returns
- Coordinate with suppliers and fulfillment partners
- Monitor inventory levels and flag restock needs
- Assist with marketing tasks such as
- Research competitors, trending products, and market opportunities
- Use AI tools to draft copy, create content, analyze trends, and automate repetitive tasks
- Maintain and organize spreadsheets, reports, and SOPs
- Handle general admin tasks: calendar management,
HR / Recruiting Support:
- Post job listings and screen incoming applications
- Conduct initial screening interviews and assess candidate fit
- Schedule and coordinate interviews with the team
- Maintain applicant tracking records
- Help onboard new hires with documentation and training materials
- Follow up with candidates throughout the hiring process
- Use AI to help draft job descriptions, evaluate resumes, and prepare interview scorecards
Requirements:
- Excellent English communication skills (written and verbal)
- Experience as a VA or EA, ideally in an ecommerce environment
- Must be actively using AI tools (ChatGPT, Claude, Gemini, etc.) on a daily basis
- Comfortable conducting interviews over Zoom or Google Meet
- Strong organizational skills and attention to detail
- Proficient with Google Workspace, Slack, and common ecommerce tools
- Self-starter who can manage tasks independently with minimal supervision
- Reliable internet connection and a quiet workspace
Nice to Have:
- Prior experience with HR, recruiting, or people operations
- Familiarity with Shopify, Amazon Seller Central, or similar platforms
- Experience with project management tools (Asana, Trello, ClickUp, etc.)
- Experience with AI image generation or AI-assisted design tools
