Executive Assistant to the General Manager — Part-Time (3 hours/day)

The role — quick and honest
You’ll spend three focused hours every morning owning the GM’s inbox and calendar: collate the day’s top items, run a daily Teams catch-up with the GM to set priorities, send replies on the GM’s behalf, and chase owners until tasks are done. You do not need to attend other meetings — your job is to move things forward, not sit in them.
Key responsibilities:
- Triage the GM’s inbox: identify urgent items, draft and send responses on the GM’s behalf, and escalate when required.
- Run a daily Teams catch-up with the GM (within 9–12) to agree priorities and actions.
- Create clear action lists and maintain a simple TAC (Time Action - Calendar) tracker — chase owners and log updates until completion.
- Protect the GM’s time: manage calendar requests, block strategic time, and categorize meeting requests.
- Draft and send clear, on-brand communications from the GM to the business.
- Hold teams accountable to deadlines across Product, Sourcing, Sales, Customer Service and Finance.
- Maintain strict confidentiality and good judgement.
Must-haves:
- Proven EA or senior admin experience in wholesale / fashion / accessories / footwear.
- Exceptional written English — tidy, decisive, persuasive.
- A process-first mindset: you build simple systems and run them relentlessly.
- Comfortable sending
- Tool fluency: Outlook/Gmail, Teams, Slack, Asana (or similar). Comfortable referencing PLM/ERP notes.
- Availability 9:00am–12:00p
- High integrity and willingness to undergo background checks if required.
Nice-to-haves:
- Experience with SAP, PLM or retail ERPs.
- Practical experience enforcing TAC / deadline compliance.
- Natural cultural champion — someone who makes team comms clear, consistent and on-brand.
What is a TAC (brief)
TAC = Time Action Calendar. It’s the launch timetable with owners, deadlines and dependencies. You’ll keep a short TAC tracker every morning so the GM only sees what truly matters.
Success in the first 90 days
Day 1–30: Daily inbox triage is consistent; morning catch-ups are tight and actionable.
Day 31–90: Deadlines are being hit more often, follow-ups are tracked and closed, and the GM has more uninterrupted strategic time.
Practicals & how to apply
Hours: 3 hours/day (9:00–12:00 Melbourne time).
Pay: $120 USD/week, paid weekly.
Contract: Ongoing (start ASAP / by mutual agreement).
Location: Remote — must work Melbourne hours.
