We're growing fast — and we need someone sharp to help keep things running behind the scenes.
The Role
We're looking for a highly organized, proactive Virtual Assistant who can handle day-to-day operations and step up as an Executive Assistant to the clinic's leadership. This is not a "sit and wait for tasks" role. You'll anticipate needs, take ownership of your responsibilities, and communicate clearly without being chased.
What You'll Be Doing
Executive Support
Manage CEO calendars, schedule appointments, and protect their time
Draft and respond to
Prepare meeting agendas, take notes, and follow up on action items
Handle travel coordination and logistics
Research vendors, tools, and anything leadership needs vetted fast
General VA Tasks
Inbox and communication management
Data entry, CRM updates, and file organization
Coordinate with tea
Create and manage documents, SOPs, and spreadsheets
Social media scheduling support (not content creation)
Handle miscellaneous tasks and projects as they come up
What We're Looking For
Proven VA or EA experience — at least 1–2 years, preferably supporting executives or founders
Excellent written English — clear, professional, no fluff
Highly responsive and reliable — we move fast and expect the same
Tech-savvy: comfortable with Google Workspace, scheduling tools, CRMs, and project management apps
Discreet and trustworthy with sensitive business information
Self-starter who doesn't need hand-holding
Healthcare or wellness industry experience is a plus, not required
