Executive Assistant (A+ Level Only)
We are seeking a high-caliber Executive Assistant to support a fast-moving CEO and leadership team.
This is not an entry-level administrative role. We are looking for a proactive, detail-obsessed operator who protects executive time, ensures priorities move forward, and keeps communication and execution organized at a high level.
The right person anticipates needs, solves problems early, and brings clarity to complexity. You thrive in dynamic environments, think critically, and take ownership without waiting for direction.
You are calm under pressure, highly organized, emotionally intelligent, and deeply reliable.
Core Responsibilities
Executive Support & Time Protection
• Manage complex calendar scheduling and prioritization
• Protect executive time and ensure alignment with strategic goals
• Monitor and manage executive inboxes
• Draft and edit professional communications
• Prepare daily or weekly executive briefings
Meeting & Communication Management
• Coordinate internal and external meetings
• Prepare agendas and supporting materials
• Capture and distribute meeting summaries and action items
• Track follow-ups to ensure completion
• Maintain organized documentation of key decisions
Operational Coordination
• Maintain CRM accuracy and data integrity
• Ensure proper documentation of leads and client records
• Support onboarding and offboarding coordination
• Monitor key administrative workflows and flag issues
Reporting & Organization
• Compile executive reports and performance summaries
• Maintain organized digital filing systems
• Support documentation of SOPs and internal processes
Confidential & Strategic Support
• Handle sensitive information with discretion
• Assist with planning and coordination of strategic initiatives
• Provide structured thinking and clarity when priorities shift
Non-Negotiables
• Proven experience supporting executives or founders
• Exceptional written and verbal English
• Strong organizational and prioritization skills
• High emotional intelligence and professional maturity
• Ability to operate independently with minimal supervision
• Extreme ownership mindset
• High integrity and confidentiality
