Position Overview
MedPro Disposal is seeking a highly proactive and experienced Executive Assistant to support executive leadership across multiple business entities. This role sits within our Executive Division under Executive Operations, directly supporting senior leadership in driving day-to-day effectiveness and execution.
This is a high-impact, remote role requiring someone who can operate independently, manage competing priorities, and communicate effectively in an asynchronous environment. The ideal candidate brings 7–10+ years of experience, strong organizational discipline, and the ability to engage confidently with executives—both verbally and in writing.
Beyond task execution, we are looking for an impact-driven professional who can demonstrate how they’ve made leadership roles easier and more efficient—improving workflows, streamlining communication, and supporting company priorities and direction.
The ideal candidate is also highly tech-savvy, with experience leveraging AI tools (e.g., Claude, ChatGPT) and platforms like Asana or similar project management tools to enhance productivity, organization, and overall operational efficiency.
Key Responsibilities
Executive Support & Impact
• Manage and optimize executive calendars, priorities, and scheduling across multiple stakeholders
• Proactively identify ways to save time, reduce friction, and improve executive productivity
• Track deliverables, follow-ups, and key priorities to ensure consistent execution
• Demonstrate ownership in making leadership workflows more efficient and scalable
Communication & Coordination
• Draft, edit, and manage executive-level communications
• Serve as a liaison across teams, ensuring clear, timely, and effective communication
• Support executives in both synchronous and asynchronous environments
• Ensure alignment across stakeholders, priorities, and deadlines
Operations & Organization
• Prepare and organize reports, dashboards, and executive-level materials
• Maintain structured systems for tracking tasks, projects, and key initiatives
• Manage competing priorities with a high level of organization and attention to detail
• Anticipate needs, identify gaps, and proactively solve problems
Technology, AI & Tools
• Leverage AI tools (e.g., ChatGPT, Claude) to streamline workflows, documentation, and communication
• Utilize Asana (or similar tools) for task tracking, project management, and accountability
• Continuously identify and implement tools or systems that improve efficiency and collaboration
Confidentiality & Trust
• Handle sensitive information with a high level of discretion and professionalism
Required Qualifications
• 7–10+ years of Executive Assistant experience supporting senior leaders
• Proven ability to communicate effectively with executives (written and verbal)
• Demonstrated track record of creating impact—improving processes, saving time, and supporting leadership effectiveness
• Strong organizational and time-management skills with the ability to manage multiple priorities
• Experience working remotely in a fast-paced, performance-driven environment
• Tech-savvy with proficiency in Google Workspace, Microsoft Office, and collaboration tools
Preferred Qualifications
• Experience supporting executives across multiple companies or business units
• Familiarity with Asana or similar project management tools
• Experience using AI tools (ChatGPT, Claude, or similar) to improve productivity
• Background in reporting, operations support, or content creation
• Experience working with U.S.-based teams or clients

Compensation & Benefits:
• $5-8/hr (based on experience), paid weekly.
• Permanent work-from-home
• 40 hours per week, aligned with U.S. business hours (CST, graveyard shift).
• Fixed weekends off (Saturday & Sunday)
• Work Anniversary Bonus
• No work with pay on US Holidays
