Position Overview
We are seeking a highly organized and detail-oriented Executive Assistant to support a U.S.-based funding business specializing in credit card stacking and financing solutions for clients with high-interest debt and limited credit access.
This role is heavily focused on operations, requiring the ability to manage funding applications, coordinate with brokers, review credit-related information, and ensure that deals move efficiently through the pipeline. You will play a critical role in maintaining speed, accuracy, and organization in a fast-paced, deal-driven environment.
The Executive Assistant will primarily support backend operations and broker communications, while the business owner manages direct relationships with clients and financial institutions.
Key Responsibilities
Deal Processing and Broker Communication
Manage incoming funding applications submitted by brokers
Communicate with brokers via
Send pre-approvals, declines, and contract documents
Ensure contract requests are processed and sent within 30 minutes
Maintain fast and professional communication to help secure deals in a competitive environment
Client File Management
Organize and maintain client funding files and documentation
Track each deal throughout the approval and funding lifecycle
Ensure all required documents are complete before funding proceeds
Maintain accurate and well-structured records for each client file
Credit Review Support
Conduct soft credit checks for potential clients
Review credit reports and identify key financial indicators such as debt obligations, credit utilization, and overall credit profile strength
Assist in preparing internal deal summaries for review
Administrative and Operational Support
Input and maintain deal data in Excel and internal tracking systems
Assist with onboarding processes and documentation collection
Support day-to-day operational workflows to keep deals moving efficiently
Assist leadership in maintaining an organized and structured deal pipeline
Process and Workflow Coordination
Ensure applications move efficiently through each stage of the funding process
Identify and flag incomplete files or missing documentation
Maintain organized internal systems for tracking deals and client information
Assist in improving workflows and documenting processes for scalability
Potential Future Responsibilities
Access client bank accounts through secure systems to verify balances and statements
Assist with underwriting preparation and deeper financial review
Support advanced deal tracking, reporting, and operational analysis

Required Skills
Strong written English communication skills, particularly in
Ability to review and interpret credit reports
Proficiency in Excel or spreadsheet tools
Strong organizational and multitasking abilities
Ability to follow structured processes while maintaining speed and accuracy
High attention to detail, especially when handling financial data
Preferred Experience
Experience as an Executive Assistant or Operations Assistant
Background in financial services, lending, or credit-related industries
Experience reviewing credit reports or financial documentation
Experience working with U.S.-based clients or brokers
Exposure to loan processing, underwriting support, or funding operations
